The Construction Site Administrator oversees daily administrative duties including: maintaining all documentation in their allocated destination (i.e. uploading and updating Newstar) and building a rapport with purchasers, trades and site inspectors. Personal accountability, time management and strong organization skills are an asset.Key Accountabilities
Organize site files:
- Issue Variance Purchase Orders based on Site Superintendent / Finishing Superintendent's recommendations.
- Organize and maintain all on site files including but not limited to: trades, purchaser, safety and building department.
- Greet purchasers prior to frame walks.
- Assist with the duties as stated above for other job sites as deemed necessary by the Site Supervisor.
- Duties will expand on the requirements of each job site
Health and Safety:
- Adhere to established safe working procedures and wear the proper safety equipment at all times
- Adhere to safety guidelines and maintain a clean and organized work environment.
- Assist Site Superintendent with any safety trainings
Scheduling:
- Assist in maintaining Newstar schedule as directed by Site Superintendent / Finishing Superintendent.
- Assist in scheduling and completion of deficiencies noted on Pre-Delivery Inspections
- Scheduling all trades in compliance with the project at hand.
Updating and maintaining customer files in system:
- Take notes from on site Tool-Box Talks
- Maintaining and updating Newstar for the development on hand.
Assist with site inspections
- Calling for inspections.
- Conduct inspections with building Inspector as supervised by Site Superintendent.
- Conduct Safety Checks as requested by Site Superintendent.
- Participate in Site Safety Walks with Safety Consultant.
Support Site Superintendent / Finishing Superintendent with daily administrative duties including but not limited to:
- Providing information and related materials to trades / suppliers
- Duties will expand on the requirements of each job site
Key Technical Skills or Experience Required
- 1 to 2 years administrative experience
- High School Diploma, graduate certificate in construction management, or graduate certificate from a recognized Ontario trade skills education system.
- Knowledge of new home construction and timelines an asset
- Previous Customer Service experience ideal
- Proficiency in MS Office (Outlook, Word and Excel)
- Previous use of NewStar, BuildPro an asset
