ABOUT THE OPPORTUNITY
Reporting to the ADI Operations Coordinator, the primary objective of the
Program Assistant is to provide administrative and program support to the Ministry of Culture, Heritage and Language (CHL) teams.
KEY DUTIES AND RESPONSIBILITIES
- Provide program and administrative support throughout the daytoday operations including scheduling meetings, taking meeting notes and handling electronic inquiries or directing citizens to appropriate individuals within CHL and the Amelia Douglas Institute.
- Provide support to CHL Coordinators in a variety of program related activities, which may include: developing program posters and communications, managing social media account, processing mail outs, preparing financial documents for vendor payment; and installing artist exhibitions at head office.
- Support events, workshops or initiatives hosted or attended by CHL, activities might include: technical support for virtual meetings, coordinating travel for in person events/initiatives, representing the CHL Ministry at public events, event planning and support during events.
- Collect, organize, and maintain data collected from various program initiatives
- Perform a variety of administrative duties, including filing, photocopying, binding, scanning, sorting, filing, and maintaining records in a confidential manner
THE IDEAL CANDIDATE
-
Note :Combination of relevant experience, education, and training will be considered.
- A diploma or bachelor's degree in a relevant field, including: Administration, Social Work, Arts, Indigenous Studies, Cultural Studies, Human Services_._
- Two (2) years of experience providing administrative assistance or project support_._
- Knowledge of office management systems and procedures, including online scheduling systems.
- Proven ability to proofread documents for formatting, grammatical, and spelling errors.
- Knowledge and/or awareness of the historical and contemporary contributions made by Métis people in B.C.
- Demonstrated ability to effectively communicate both verbally and in writing, ensuring a high degree of confidentiality is maintained.
- Proven ability to utilize strong interpersonal skills to deal with others effectively.
- Proven ability to prioritize tasks, meet deadlines, and work with mínimal supervision.
- Proven ability to utilize, adapt and embrace new technologies, including Word, Excel, Canva and others
OTHER COMMENTS
- Other duties may be assigned as needed to help ensure the efficient operation of MNBC.
- There will be a need to attend meetings and events which may require work and travel outside of normal business hours.
- Ability to provide a satisfactory Criminal Record Check.
