Responsibilities:


The Program Coordinator in the Department of Earth Science is responsible for the operation of the graduate/undergraduate office and provides administrative support to the Undergraduate and Graduate Chairs, faculty members and instructors to support the effective and efficient administration of graduate and undergraduate programs within the Department.

The role is the first point of contact and acts as a resource for faculty members, students, prospective students, parents, and the public providing guidance regarding University, School of Graduate and Postdoctoral Studies and departmental policies and procedures, providing referrals to other individuals or resources as required.

The role advises prospective and current graduate and undergraduate students on program requirements, policies, graduation requirements, coursework, scholarship and bursaries, add-drop enrollment and course selection, intent to register, funding packages, payroll administration, thesis requirements, admission processes, program eligibility, examinations and student orientation.


The Program Coordinator also assists with adjudication, maintains graduate student milestones, administers thesis defenses, creates and maintains student records and funding packages, organizes course and exam schedules and coordinates faculty and instructor teaching evaluation processes and student orientations.

The role assists with recruitment, reviews offers of admission, monitors student intake, coordinates orientation day, and provides course selection criteria to new and returning students.

The role processes financial transactions, assists with allocating, processing and tracking graduate student funding, and conducts reconciliation and reporting for respective budgets.

In addition, the role coordinates, administers and facilitates graduate and undergraduate scholarships, internal and external awards, and coordinates and maintains the departmental website and social media accounts.


Qualifications:


  • Education:
  • 3-year University Degree in Business Management/Administration with courses taken in accounting
  • Experience:
  • 4 years of experience providing financial and administrative support and customer service in an academic environment
  • Experience coordinating logistics of academic programs, services, and events
  • Knowledge, Skills & Abilities:
  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Demonstrated ability take initiative, to work independently and follow through on work assignments
  • Competency to maintain confidentiality and treat sensitive information with discretion
  • Ability to establish rapport with people from diverse backgrounds
  • Demonstrated ability to understand and resolve external and internal partner issues
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to process information with a high degree of accuracy, and follow formal business practices with high attention to detail
