Responsibilities:
We are looking for a personable and self-motivated Office Manager to support our Richmond Hill Head Office.
As a member of the People Operations team, you will play a vital role in managing administrative tasks, provide timely and proficient office administrative support to numerous departments, and maintain a professional and organized office environment.
- Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
- Oversee daytoday office activities as main point of contact in reception area, and keep management informed regularly.
- Coordinate and book travel and accommodation arrangements for team members.
- Provide direct administrative support to various departments as required.
- Participate in internal committees that support company programs and events, i.e., Social committee, JHSC committee, etc.
- Coordination of key meetings including food and beverage arrangements. When needed, organize and coordinate offsite meetings, and corporate events.
- Greet and direct office visitors.
- Handle inquiries and direct to appropriate departments; monitor and forward/respond to general inquiries on the company's website.
- Update and maintain company contact list.
- Handle incoming and outgoing mail, packages, and deliveries.
- Other duties as assigned.
Qualifications
- Minimum of 2 years of experience in an administrative role. A combination of education and/or experience will be considered.
- Excellent professional and interpersonal skills, both verbal and written, to communicate effectively with staff and management.
- Computer savvy and proficient in Microsoft Suite i.e. Word, Excel, PowerPoint, Outlook, MS Teams.
- Ability to work independently and carry out assignments with mínimal supervision.
- Ability to prioritize multiple tasks effectively, with a focus on exceeding expectations and a 'happy to help' attitude.
- Attention to detail and accuracy in performing tasks.
- Must demonstrate good judgment, the ability to keep confidentiality, and adherence to company policies and procedures.
- Access to a vehicle required.
