PURPOSE OF THE POSITION


Under the general supervision of the Project Director/Project Manager, the Project Management Assistant is responsible for performing a variety of complex project management support tasks requiring a thorough knowledge of company and project policies and procedures.

This position requires the ability to work independently and as part of a team, exercising judgment and initiative, and may be required to provide support for several departments.


ESSENTIAL FUNCTIONS AND RESPONSIBILITIES


Under mínimal supervision and with confidentiality and diplomacy, accountable to perform and manage a variety of complex and demanding project management support duties ensuring the smooth and successful operation of the office.


  • Responsible for the assigned scope of the project and accountable for performing duties that facilitate work progressing with safety, quality, schedule, cost, and contractual requirements
  • Responsible for contributing inputs to the project schedule and/or budget and monitoring adherence to project schedule and budget
  • Establish standards of excellence for various deliverable types and perform reviews and approvals of documents produced by others to ensure this standard of excellence is upheld
  • Deliver various presentations, reports and/or documents to stakeholders
  • Perform and maintain daily documentation, filing and typing. Proofread documents for correct formatting, English usage, grammar and spelling.
  • Communicate with other team members and managers to identify project management support concerns and improvement initiatives. Coordinate and implement project communication initiatives as identified by project team.
  • Perform such other duties and responsibilities as assigned by Project Management.
  • Ensure work is performed within quality program requirements
  • Expected to perform with a high degree of independence

KNOWLEDGE AND SKILLS

  • Postsecondary education or related business diplomas/certificates.
  • Advanced computer skills with Microsoft Office (Word, PowerPoint, Excel, Calendar).
  • Working knowledge of SharePoint, TRAK, SNC-Lavalin PM+ Administration and/or Document Control modules would be considered an asset.
  • Excellent verbal and written communication skills.
  • Detail oriented and highly organized with the ability to multitask.
  • Must be able to deal with sensitive issues in a confidential manner.
  • Experience working in a consulting firm and/or knowledge of engineering terminology and document types would be considered an asset.
  • Experience with ORACLE would be considered an asset.
  • Experience with Workday would be considered an asset.
  • Qualified to pass CSIS, RCMP, OPP and other personal security clearances as required.

  • Fiscal responsibility as required.
