$66, $74,482.00 per annum

$82,757.00 per annum

AREA OF RESPONSIBILITY:


The Associate, Facility Support provides customer service excellence to internal/external clients and supports the City of Brampton's Facility Events Strategy.

The Associate, Facility Support is responsible for supervising staff, increasing exposure and assisting in the coordination of event logistics within downtown Brampton facilities for new and existing clients.

- **ADMINISTRATION SUPPORT*
  • Responsible for receiving Alderlea inquiries and assisting and supporting FSO clerks with downtown rental inquiries
  • Assist with scheduling, payroll and general office duties
  • Provide timely followup with clients
  • Liaise with internal staff (ex. Facility Technician Lead, BMO's, housekeeping staff and security)
  • Organize details as they relate to events (ex. floor plans, setup and service requirements)

- **STAFF SUPERVISION*
  • Responsible for recruiting, hiring, training, and providing ongoing supervision of staff
  • Provides advice, guidance, and direction to staff to ensure successful delivery of event coordination and operations
  • Maintains corporate, departmental, and divisional standards by ensuring the quality and accuracy of work of direct reports
  • Provides ongoing feedback to staff, including discipline when required
  • Assigns/coordinates tasks to direct reports
  • Ensures compliance to governing legislations and regulations, corporate policies, procedures, standards and guidelines

- **MARKETING PROGRAMMING SUPPORT*
  • Report on trends and areas for growth
  • Advise and make recommendations with a focus on business needs and client feedback
  • Prepare event packages and marketing materials as required
  • Regular updates to website and support with social media channels

- **CUSTOMER SERVICE*
  • Provide site visits and tours for clients and vendors downtown Brampton
  • Single point of contact for downtown Brampton events
  • Liaise with various community groups, businesses and customers to enhance client relationships when planning events
  • Interpersonal connection with clients
  • Ensure compliance with insurance and facility rules and regulations
  • Ensure facilities are at a state of readiness at the beginning of each tour/event/booking

- **EVENT OPERATIONS SUPPORT*
  • Create client floor plans and consult FSO clerks on other event planning such as timeline, caterers, insurance etc.
  • Provide onsite guidance and direction to internal staff and vendors
  • Assist in event setup and takedown
  • Maintain inventory and report damages and requirements to Sr. Coordinator, Events
  • Escalate complex issues to appropriate level
  • Propose ideas to improve provided services and event quality
  • Collaborate with Sr. Coordinator, Events and Facility Technician Lead in the planning and execution of events as required
  • Organize and maintain event order files
  • Conduct pre
- and post - event evaluations and report on outcomes


SELECTION CRITERIA:

EDUCATION:
  • Post
  • secondary degree or diploma in Special Events, Communications, Marketing, Hospitality, Public Relations or equivalent

REQUIRED EXPERIENCE:


  • 23 years of experience in a municipal or community events related environment with proven experience in event planning or marketing and execution in a project team environment

OTHER SKILLS AND ASSETS:


  • Ability to work flexible work schedules; evenings and weekends based on business needs
  • Strong customer service and people management skills
  • Proficient in Microsoft Office software
  • Knowledge of CRM systems
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills and experience working with community groups and/or the private sector, other levels of government
  • Strong organizational and time management skills
  • Ability to work well under pressure
  • Detail oriented, well organized and able to prioritize tasks and meet critical deadlines
  • Regular access to a vehicle
  • Able to work independently and as part of a team
  • A valid, nonprobationary Ontario Class G driver's license
