Admin assistant - available immediately


As the administrative assistant your job will entail working in a fast-paced professional environment in our transcription department processing orders for court transcripts.


You must be adept at working effectively with our clientele while displaying tact, diplomacy and a high level of confidentiality.


The ideal individual will have above-average time management skills and the ability to prioritize and re-prioritize as new tasks are received.

Must excel at working under pressure with multiple tasks on the go, shifting timelines and priorities. The ability to remain calm and focussed while meeting deadlines is critical.


Responsibilities:


  • Calendar management, including booking, rescheduling and juggling a busy calendar
  • Ability to review in advance conflicts and staying on top of a constantly changing schedule
  • Efficiently manage and promptly respond to all incoming inquiries/requests for information independently or redirect to the appropriate person/area
  • Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues when appropriate
  • Service transcription/job orders from start to finish, including dealing with clients and service providers, quality control oversight, and basic invoices to clients.
  • Perform basic administrative tasks such as photocopying, scanning and filing

Experience and skills required:


  • Excellent English, both spoken and written
  • Ability to stay calm and friendly under pressure
  • Excel at managing multiple priorities and changing priorities
  • Attention to detail
  • Strong communication skills; the ability to be proactive vs reactive
  • Proficient with Microsoft Office
  • Ability to learn new computer programs,
  • Very strong organizational skills
  • Pays close attention to detail, ensuring all documentation, spelling, grammar and other information is accurate
  • Strong listening and processing skills; able to stay focused and on task
  • Excellent followup skills
  • Not afraid to ask for help when required
  • One year previous administration experience
  • Polished and professional

Salary:
From $41,000.00 per year

  • Clerical processing: 1 year (required)
