Admin assistant - available immediately
As the administrative assistant your job will entail working in a fast-paced professional environment in our transcription department processing orders for court transcripts.
You must be adept at working effectively with our clientele while displaying tact, diplomacy and a high level of confidentiality.
The ideal individual will have above-average time management skills and the ability to prioritize and re-prioritize as new tasks are received.
Responsibilities:
- Calendar management, including booking, rescheduling and juggling a busy calendar
- Ability to review in advance conflicts and staying on top of a constantly changing schedule
- Efficiently manage and promptly respond to all incoming inquiries/requests for information independently or redirect to the appropriate person/area
- Consistently exercise discretion in managing correspondence, information and all matters of confidentiality; escalate issues when appropriate
- Service transcription/job orders from start to finish, including dealing with clients and service providers, quality control oversight, and basic invoices to clients.
- Perform basic administrative tasks such as photocopying, scanning and filing
Experience and skills required:
- Excellent English, both spoken and written
- Ability to stay calm and friendly under pressure
- Excel at managing multiple priorities and changing priorities
- Attention to detail
- Strong communication skills; the ability to be proactive vs reactive
- Proficient with Microsoft Office
- Ability to learn new computer programs,
- Very strong organizational skills
- Pays close attention to detail, ensuring all documentation, spelling, grammar and other information is accurate
- Strong listening and processing skills; able to stay focused and on task
- Excellent followup skills
- Not afraid to ask for help when required
- One year previous administration experience
- Polished and professional
Salary:
From $41,000.00 per year

- Clerical processing: 1 year (required)
