About the Position


As
Scheduling Specialist in the President & CEO Office, you will manage and maintain the President & CEO's schedule and calendar, flag conflicts, determine senior leaders' availability and attendance, balance availability against incoming requests, and adjust schedules as necessary to accommodate changes in priorities or deadlines.

All these responsibilities help to ensure the effectiveness of the President & CEO office.


Reporting to the Executive Assistant, you will collaborate with administrative colleagues across the organization and share relevant knowledge and best practice across the team.

You also work with the Director, Board Governance & Strategic Projects and the Director, Strategic Communications & Partnerships to support Board of Director scheduling and major corporate events.


  • Calendar scheduling coordination for the CEO and senior leadership team calendar scheduling support
  • Support the Executive Assistant regarding CEO availability and prioritization of meetings and events
  • Coordinate and track internal and external attendance responses and share information in a timely manner with appropriate parties
  • Flag scheduling conflicts for senior leadership team
  • Support Board Governance & Strategic Projects department with scheduling CEO review time for Board packages and call arounds for Board and Shareholder meetings
  • Support Strategic Communications & Partnerships department with maintenance of stakeholder and partner lists and invitations to corporate events
  • Provide backup support for corporate reception
  • Postsecondary certificate or diploma in Office Administration or related field
  • Three five years of experience in an executive office environment
  • Proficient in Microsoft Office 36
  • Strong organizational skills with focus on detail orientation
  • Strong writing, editing, grammatical, and research skills
  • Problemsolving approach to situations
  • Demonstrated ability to work well both independently and within a collaborative team environment
  • Ability to adapt without issue, to changing and shifting priorities
  • Excellent communication skills with an ability to adapt approach to audience
