Job Summary:

This position helps coordinate and promote internal staff events and community events.

The Events and Communications Coordinator will work with various event committees, as well as our Archway administration team and Philanthropy team as needed.

The position will work closely with the Marketing & Communications team to promote events internally and externally and support program events.

The Events and Communications Coordinator will be responsible for the planning, organizing, implementing, and follow-up regarding event activities and deliverables for recurring annual events such as the annual Community Builders' Awards, Annual General Meeting, community events, staff engagement events and more.

The Coordinator will support fundraisers, program events and established community events with communication strategies, event planning, and support on the event day.


Your Role:

Archway's Events and Communications Coordinator with the Marketing and Communications Program contributes by:

  • Ensuring events are accessible for all, and coordinating accommodation requests.
  • Communicating with event vendors, event partners, event sponsors, event volunteers, Archway staff, event attendees, event speakers and dignitaries regarding event plans and logistics.
  • Liaising with the Marketing and Communications team to promote the events both internally and externally through various communications modes including social media, traditional media, Archway's intranet and internet, print materials, and more.
  • Prior to the event and on the day of the event, coordinating the roles and responsibilities of the support staff and volunteers assisting on that day.
  • Designing and proofreading various event materials such as speaking notes, speaker bios, event programs, signage, and print ads.
  • Reviewing and updating event budgets on a regular basis in consultation with the Associate Director.


This position is a great fit for someone who can anticipate event needs, can coordinate speakers and volunteers, who has great collaboration skills, and time management skills.


Our Offer:


  • Wage: $23.00 to $25.00 per hour
  • A permanent, parttime position at 18 hours per week. The schedule will be three days per week between Monday to Friday, from 8:30 AM to 5:00 PM.

Getting an Interview-you will be considered if you have:

  • One to two years post-secondary education in a related field such as event planning, public relations or communications is preferred.
  • Experience planning events for small and large groups.
  • Experience working with committees to organize events.
  • Experience with social media and design software.
  • Experience with WordPress or other website Content Management Systems is an asset.
  • Experience working with nonprofit organizations is an asset.
  • Experience working with virtual and/or hybrid events is an asset.

The Job Requires you to have:

  • A valid BC Driver's License and clean driving record.
  • Demonstrated ability to anticipate needs of event attendees, speakers, support staff, and volunteers.
  • Ability to collaborate effectively with Agency leadership, program staff, nonprofit or publicly funded groups, organizations, and community stakeholders.
  • Strong verbal, written, and active listening communication skills; able to communicate clearly and respectfully with people from diverse backgrounds, cultures, and varying levels of English.
  • Strong organizational and time management skills; able to balance and manage competing projects and priorities.
  • Demonstrated knowledge of Microsoft Office 365, including Word, Excel, Outlook, and PowerPoint to create reports and various documents.
  • Skills in being able to efficiently prioritize workload to respond to changing conditions, deadlines, and priorities.
  • Ability to effectively manage last minute, emergency and crisis situations.
  • Ability to work outside normal business hours to accommodate Agency, staff, and client needs.
  • Ability for direct, inperson contact with onsite staff and clients; adherence to health and safety protocols is required.
  • Ability to work in a highpace environment with demanding deadlines.
  • The use of a personal vehicle is required for programrelated driving; must be able
