Project Accounting CoordinatorTemporary Position - Effective immediately until Jan 31, 2025
SUMMARY
Under the direction of the Director of Finance, the Project Accounting Coordinator assists with various accounting projects and initiatives at both the district and school level.
The role will be involved in project requirements gathering, documentation, implementation, training, and support, as directed by the Director of Finance.
RESPONSIBILITIES:
Create training resource library for school clerical and administrative staff related to school accounting processes and procedures:
Research and gather information from existing sources.
Identify gaps in existing resource material.
Create new instructional resources as required, with respect to school accounting processes and procedures, school accounting system manuals, FAQ's, links to appropriate vendor information, and other resource materials.
Supervise and provide training to the Accounting Services Coordinator role, including, but not limited to the following:
PowerSchool Atrieve (ERP)system.
KEV SchoolCash system - administrator/expert level user.
School clerical staff
School-based financial processes and procedures.
Travel to school sites as required.
Maintenance of training resource library.
School audit procedures.
Accounts receivable procedures, including:
Processing monthly facility lease invoices.
Analyzing union leave data and payroll recoverable costs for processing of monthly invoices to unions, government, and other third parties.
Processing school district receipts and bank deposits.
Miscellaneous Accounting
Processing journal entries.
Processing quarterly GST claims.
Preparing monthly bank reconciliations.
Review of monthly school-based bank reconciliations.
Processing charitable tax receipts for school and district donations.
Purchase card program processes, including transaction review, analysis, and upload to ERP system.
Facilitate year-end process for school-based accounting.
School audits
Under the direction of the Director of Finance, lead field work for school audits,
Provide training and mentoring to school clerical and administrative staff with respect to audit findings.
School and district level custom forms
Using KEV SchoolCash system, develop form templates and procedures for school-based use of online forms (permission forms, other).
ERP finance workflow enhancements
Assist with research, testing, documentation, and implementation of Atrieve finance workflow improvements and online forms related to accounts payable, accounts receivable, other.
Perform other duties as required by the Director, Finance.
QUALIFICATIONS:
Knowledge, Skills and Abilities
Proficiency with administration and support of KEV School Cash program.
Working knowledge of standard school district operations, polices, and procedures.
Advanced level MS Excel skills.
Demonstrated interpersonal and communication skills, and ability to work collaboratively and effectively within a team.
Proficiency with Power School Atrieve program.
Education and Certification:
A two-year diploma in Financial Management, Accounting, Business Administration or Commerce.
Current and valid BC driver's license and safe driving record.
Experience
5 years of relevant experience in accounting or finance.
Other
An equivalent combination of education, training and experience may be considered.
Note:
A clear Criminal Record is required for this position, with a review to be updated every five (5) years.
