POSITION PURPOSE


Reporting to the Manager, Transportation and Infrastructure Planning
, is responsible for providing switchboard, reception and general clerical support including data entry, mail distribution, record keeping, filing and correspondence preparation.


MAJOR RESPONSIBILITIES

  • Operates a high volume, multiple line switchboard and records voice mail attendant messages as needed.
  • Updates and assists with the training of switchboard relief personnel.
  • Provides general clerical support to all Divisions/Branches, as required.
  • Completes appropriate documentation and arranges for courier service.
  • Maintains both manual and electronic filing and information management systems for correspondence, reports, directives and legislation, in accordance with Regional standards.
  • Creates and maintains hard copy and database files.
  • Responds to inquiries and resolves concerns, as appropriate, from the general public, etc.
  • Ensures that services provided meet Regional customer service standards.
  • Performs other duties as assigned, in accordance with Branch and Department objectives.

QUALIFICATIONS

  • Successful completion of a Secondary School Graduation Diploma or approved equivalent combination of education and experience.
  • Minimum one (1) year clerical experience in an automated office environment, including switchboard and reception experience.
  • Knowledge of general office procedures, including records and information management filing systems.
  • Knowledge of and demonstrated ability in corporate core competencies including customer service, communication, team work, initiative/self management and accountability, and flexibility/adaptability.
  • Demonstrated customer service skills to provide assistance to a broad range of client inquiries and service provision.
