Primary function
The primary function of the job is to perform a variety of customer-focused administrative duties.

Key accountabilities

  • Provide backup relief for reception staff as required.
  • Scheduling settlement conferences, maintaining settlement conference database
  • Maintain settlement conference calendar
  • Work with settlement conference staff in Brampton
  • Reception duties including answering a high volume of telephone calls and providing information to clients and lawyers on the phone and/or in person regarding legal aid processes and/or the status of their file.
  • Assisting clients in completing intake information and triage.
  • Scan consent and declaration forms and attach to client file in the PeopleSoft system.
  • Upload portal attachments to client files and triage to appropriate staff.
  • Scan and attach correspondence to existing client files in PeopleSoft and triage to staff as needed.
  • Fax correspondence to counsel and clients
  • Maintaining and faxing up to date referral lists.
  • Additional, specific duties as outlined by manager

Required skills & experience

  • Experience in an office environment and proven ability to deal effectively with clients on the phone and inperson.
  • Sound organizational skills to ensure the accuracy of information and to maintain control of a variety administrative of tasks.
  • Accurate typing skills and the ability to work with mínimal supervision
  • The ability to multitask and to work well under pressure

Education & Job Knowledge:

  • Knowledge of court procedures, duty counsel policies and LAO's policies and procedures is an asset
  • Good knowledge of community based services available to clients
