Reporting to the Office Services Team Leader, the Administrator, Office Services is responsible for executing a variety of administrative tasks in support of the Office Services Department.
This position is suitable for a highly organized individual with a great sense of urgency and strong customer service skills.
This position requires flexible hours to accommodate the firm's needs.Responsibilities:
- Processing photocopying, scanning, printing and binding requests as per specifications of the assignment and prioritizing jobs as needed; liaises with offsite printing partners;
- Assisting with infirm printer troubleshooting and coordinating service calls with vendor;
- Collecting, sorting, processing and distributing outgoing and incoming mail;
- Arranging local and international couriers including providing corresponding customs documentation; liaises with courier on behalf of firm member to trouble shoot any issues;
- In partnership with our Premises team, ensuring all supply rooms and copiers are stocked and organized; delivering supplies to firm members upon request;
- Liaising directly with firm members on requests and requirements, including but not limited to, collecting storage boxes, delivering items to court and making bank deposits;
- Providing excellent customer service to both internal and external clients; operating in a fast paced environment while meeting multiple deadlines and maintaining consistent and high service standards;
- Using time productively and following established processes, best practices and service standards;
- Providing assistance to others during absences as needed; including afterhours support to Premises, Client Services, Technology and Records Management as required; and
- Other duties as assigned.
Requirements:
- A high school diploma or higher.
- A designation is not required.
- 13 years of relevant experience within a professional services environment.
- Proficiency in rolespecific software, including Rendezvous, Print Room Manager/Copitrak and DM.
- Solid written & verbal communication skills, a selfstarter with a strong work ethic, and a team player with excellent client service skills.
