What You Will Do:
- Actively participate in board meetings ensuring meticulous documentation and minutes are kept capturing critical discussions and decisions.
- Manage and oversee projects including those led by branch managers. Responsibilities include coordination, monitoring progress, and ensuring alignment with the company's strategic objectives.
- Work closely with different departments to support and lead internal and external projects.
- Address all administrative details to lighten the workload of the Chairman and President.
- Conduct research, compile data, analyze and prepare papers for consideration and presentation by executives, committees, and boards of directors.
- Provide general information on directives, activities, and bylaws, and as required, provides explanations or clarifications.
- Schedule or reschedule the Chairman and President's meetings based on priorities, reminds of meeting dates, and prepares all necessary documents.
- Perform research and provide requested information or refer the Chairman and/or President to the appropriate authority.
- Establish and coordinate administrative policies and procedures for officials, committees, and boards of directors.
- Analyze incoming and outgoing memoranda, submissions, and reports and prepare and coordinate the preparation and submission of summary briefs and reports to executives, committees, and boards of directors.
- Prepare agendas and plan for committee, board, and other meetings.
- Meet with individuals, special interest groups, and others on behalf of executives, committees, and boards of directors to discuss issues and assess and recommend various courses of action.
- Consult with departmental and corporate officials and with other organizations and associations on behalf of executives, committees, and boards of directors.
What You Will Need to Succeed:
- Excellent verbal and written communication and people skills.
- One year minimum direct experience as an Executive Assistant in the electrical industry.
- Proficiency with Rubicon, Microsoft Word, Outlook, Excel, and Teams.
- Demonstrate judgement, tact and diplomacy in dealing with internal and external customers.
- A trustworthy individual who can manage highly confidential and sensitive information with the utmost integrity and professionalism.
- An unbiased person who values diversity, inclusion and equality.
- Great to have enthusiasm, a cheerful outlook and the ability to perform as a collaborator.
- Outstanding interpersonal/communication skills, adaptable and with problemsolving capabilities.
- Master's degree is an asset.
