The Opportunity:

The role of Production Coordinator, Performing Arts at Banff Centre involves providing vital production assistance for various programs, projects, and events. This position requires thorough organization and coordination of production elements for multiple productions both annually and on a customized basis.

Responsibilities include ensuring prompt organization of production needs, and meeting the operational and logistical expectations of faculty, participants, and production leads.

The Production Coordinator supports a variety of performing arts events, concerts, theatre presentations, conferences, festivals, and more across Banff Centre and for external clients.

Reporting to the Production Manager, the individual in this role is tasked with executing assigned projects and initiatives, contributing to Banff Centre's overall vision, success, and adherence to its values and strategies.


Roles and Responsibilities:

  • Under the guidance of the Production Manager, create projects in Farmerswife to assist in equipment bookings, space reservations, and report generation.
  • Identify, organize, and implement logistical requirements related to production needs such as resource requests, technical assessments, studio allocations, production spaces, and technical equipment.
  • Assist in the development, updating, and circulation of crew and rehearsal schedules, post-event assessments, mainstage activities, production rentals, and other relevant events.
  • Arrange and conduct planning meetings for Production teams with internal departments and external partners, handle pre-meeting and program documentation, and manage meeting minutes.
  • Negotiate and arrange resource support (equipment, facilities, personnel) for all projects involving participants and other Banff Centre departments.
  • Evaluate resource requests, conduct technical appraisals for all programs and events, and address production requirements, studio assignments, script orders, music scores, and general production supplies.
  • Communicate with clients, participants, and production/technical crew throughout programs, including load-ins, tech rehearsals, performances, and load-outs.
  • Facilitate the preparation of production contracts and agreements.
  • Support various administrative and coordination tasks within Banff Centre Performing Arts, including maintaining accurate filing systems, records management, post-event evaluations, expense tracking, and other office administration duties.
  • Research and compile information for production budgets, monitor expenditures, and ensure timely invoice payments.
  • Act as a liaison with all participants and faculty members.
  • Ensure effective communication with all Banff Centre departments to guarantee smooth program and performance delivery.

Qualification and Educational Requirements:

  • Diploma/Degree in Performing Arts/Arts Production or a related field, or equivalent professional experience.
  • Over 5 years of production expertise in music and theatre event activities.
  • More than 5 years of experience working in a performing arts venue.
  • Proficiency in the Microsoft Office suite, with advanced Excel and Outlook skills.
  • Experience in scheduling arts technical/production-based projects or similar endeavors.
  • Previous experience in production coordination, arts administration, or stage management within a professional performing arts or entertainment venue.
  • Reliable and self-motivated, capable of working independently under general supervision.
  • Excellent attention to detail, strong administrative skills, and effective communication abilities.
  • Proven organizational skills, able to manage multiple tasks and projects simultaneously.
  • Customer-centric approach with a focus on delivering exceptional service.
  • Familiarity with new technologies and scheduling software programs; experience with Farmerswife is a plus.

Special Requirements:

  • Given the nature of the role, the Production Coordinator should be available for occasional evening work.
