Description

The Maintenance Coordinator reports to the Property Manager and is primarily responsible for scheduling and coordinating day to day corrective maintenance and unit turnover in London and surrounding communities.

In addition, the Maintenance Coordinator is responsible for overseeing inventory. This position oversees staff at several properties in addition to working with contractors.


Primary Responsibilities
Day to Day Work Orders

  • Coordinate service requests for unit maintenance, assign and schedule staff and/or contractors to complete work orders
  • Complete some service requests when staff are unable or require additional assistance
  • Schedule appointments with existing residents and/or provide 24hour Notice to Enter the unit
  • Oversee time tracking
  • Ensure service requests are completed properly
Property Maintenance

  • Adhere to a preventative maintenance schedule
  • Coordinate repairs to structural, mechanical, electrical systems, boilers, pumps, etc.
  • Coordinate landscaping, grounds maintenance and garbage/recycling pick up
  • Process Accounts Payable; verify Purchase Orders, Contractor Invoices and Material/Supply Invoices
  • Ensure workplace safety is practiced
Coordination of Inventory

  • Source vendors for material and supplies and ensure stock is available in reasonable amounts for the maintenance team
  • Verify Packing Slips and Supplier Invoices
  • Oversee Sign In/Out Sheets for company owned vehicles
Fire Safety

  • Ensure inspections are completed at every building
  • Create and update fire safety plans for new and existing properties
  • Communicate, schedule and coordinate with contracting companies that complete the annual inspections
  • Ensure on site staff are completing daily inspections and monthly bell testing
  • Ensure compliance with the Ontario Fire Code

The incumbent must demonstrate the following skills and experience:

  • A minimum of 1 year of experience in a maintenance related position preferably in residential property management
  • Familiarity with the Residential Tenancies Act and Landlord Tenant Board
  • Ability to manage multiple activities and projects simultaneously and to assess priorities to meet deadlines
  • Computer proficiency and ability to use property management software
  • Organizational skills and the ability to multitask in a fastpaced environment
  • Ability to maintain lasting relationships with residents, staff members and contractors
  • Postsecondary education relating to Building Maintenance, Mechanical/Engineering or Project Management is preferred
  • Knowledge of building automation systems, HVAC, mechanical, plumbing, electrical and life safety systems
  • Knowledge of general maintenance, landscaping, paving and roofing systems
