What you will do:

The Advancement Coordinator will provide the highest level of administrative support to the Stewardship and Major Gifts teams.

Working closely with the Director of Stewardship and Donor Engagement and Director of Major Gifts, this role will support the coordination and execution of all donor stewardship and major gift activities including coordinating and preparing materials for meetings, acknowledging donors, tracking donor touch points and moves management, planning stewardship events, assisting with the creation of impact reports and other key advancement and alumni initiatives.


Administrative Support:


  • Provide administrative support to the Director of Stewardship and Donor Engagement, and the Director of Major Gifts including: coding invoices, booking meetings, preparing meeting materials, assembling reports and assisting with other administrative activities as required.
  • Prepare regular reports to assist with monitoring donor stewardship obligations.
  • Assist with coding and tracking donor touch points in Raiser's Edge including moves management and donor stewardship obligations.
  • Provide data support including: pulling reports and conducting integrity checks.
  • Maintain administrative systems and adhere to filing protocols without exception.

Donor Engagement Initiatives and Recognition

  • Help to plan, coordinate and execute donor appreciation events, announcements, dedications and milestone celebrations to motivate increased and continued support.
  • Assists with the creation of recognition proposals and renderings of potential naming opportunities.
  • Work closely with the Director of Stewardship and Donor Engagement to identify and track our inventory of physical naming opportunities and college assets.
  • Assists with the updates and installation of donor signage for physical spaces, and maintains, and tracks all signage, including donor wall and plaques.
  • Work with vendors to prepare special projects and custom gifts
  • Maintain all donor listings and manage donor wall updates

Acknowledgments, Stewardship Reporting and Other Publications

  • Prepare a range of thank you and acknowledgement letters and coordinates mailings and execution of donor stewardship correspondence including stewardship and scholarship reports and other Humber publications and communications.
  • Assist in the development of stewardship reports through information gathering and synthesizing, drafting content where required, reviewing reports and working with Major Gift partners to facilitate delivery.

Gift Processing and Major Gift Proposal Support

  • Preparation of forms related to gift processing, including: gift payment, gift confirmation, and gift agreements in support of the Director of Major Gifts
  • Assistance in preparation of major gifts proposals in Foleon, Word, Powerpoint, and/or PDF
  • Facilitation of briefing notes and packages for donors meetings that will be shared amongst internal and external stakeholders

What you bring to the role:

Education

  • 3year diploma/degree or equivalent in public relations, communications, administration, fundraising

Experience and Skills

  • Minimum of two years experience in notforprofit, ideally in education or a related organization.
  • Related experience providing support in an office environment with emphasis on customer service and administrative duties and communication.
  • Strong budget & financial experience including experience with monthly financial reporting, budgets and variance analysis.
  • Experience building potential donor relationships within a reputable charity.
