    POSITION OBJECTIVE


    The Communications and Marketing departments require a Full Time Administrative Assistant to provide administrative support.


    Reporting to the Manager of Communications and Manager of Marketing, the Administrative Assistant will be responsible for offering professional, confidential, administrative assistance.

    This role involves collaborating with all levels of the organization and various public stakeholders.


    KEY JOB RESPONSIBILITIES

    • Offer administrative support to the Communications and Marketing Departments and other Bethesda departments, as necessary
    • Collaborate within the Communications and Marketing Departments, Bethesda and other external stakeholders regarding various community events
    • Take part in creating and sharing advertising and marketing materials through different communication channels
    • Produce and/or review various presentations and advertising materials using a suitable communication tool
    • Carry out and report on different research projects
    • Assist in coordinating and overseeing various departmental, organizational, and stakeholder meetings
    • Ensure internal communications meet specific standards and that distribution is in line with guidelines and content
    • Execute internal administrative tasks as designated
    • Provide administrative support for day-to-day scheduling in the Communications and Marketing Departments
    • Maintain updated and easily accessible contact information for internal and external staff, as necessary
    • Ensure prompt and accurate processing of all Bethesda Home Foundation Inc. (BFI) donations
    • Correctly handle all organizational Serious Occurrence reports following Ministry of Children, Community & Social Services (MCCSS) and internal policy guidelines
    • Maintain appropriate and accurate departmental filing as per internal Bethesda policy and legal requirements
    • Review, prepare, and ensure departmental reports meet organizational standards and distribute them as directed
    • Ensure all signage, including any French language requirements, complies with internal Bethesda policy
    • Manage front desk reception and route phone inquiries

    QUALIFICATIONS

    • College Diploma in Office Administration preferred
    • Proficient in Microsoft Office applications: Word, PowerPoint, Excel, Publisher, and Outlook
    • Two to three years' experience in an Administrative Assistant role involving reception, customer services and data entry
    • Familiarity with publishing and graphic design programs
    • Experience in editing newsletters, articles and layout development
    • Excellent written, verbal, and interpersonal communication skills
    • Strong project management skills with ability to multitask and prioritize within deadlines
    • Knowledge of office operations necessary
    A good attendance and disciplinary record is expected.
