Description
Reporting to the Condominium Property Manager, the Facilities coordinator represents the Condominium Corporation at hand. This position handles the day-to-day operations within the building.

The Facilities coordinator is primarily responsible for assisting residents, acting as a liaison with Property Manager (PM) of Imperial Properties, handling maintenance, repairs and general upkeep.


Duties include but not limited to:

  • Administrative functions afterhours emergency directions should be reported to the Property Manager on-call, the PM would deal with it or delegate to the site staff member if required.
  • Assist PM in the enforcement of bylaws, rules, policies and agreements.
  • Prepare monthly reports for the Board of Directors.

Operational Functions:


  • The directive of the Corporation is that representatives work on their behalf.
  • They are expected to check for proper operation of the building systems (ie water heaters, air make up units, garage door, gym, etc.). They are expected to respond to incidents of emergency in nature and keep management informed of significant occurrences in the building in a timely manner.

Please Note:

There are no extra payments contemplated in this contract for work done except as mutually agreed upon in advance.


HOURS OF DUTY:


  • The position is for Part time or leading to Full Time to be engaged for the purpose of providing onsite services.
  • Expectation of hours
- including flex time: 4 hours/day Monday to Friday, as Part Time.

  • Flexible hours means that the person can leave the building for personal reasons but will respond to calls (if required return to the building or deal with the call upon return)

GENERAL:


  • Outdoor and indoor lighting is to be checked and replaced as necessary
  • Report missed garbage pickups to PM as well as notifying 31
  • Parking areas to be monitored regularly for unauthorized vehicles to be towed if not registered or per Corporation Policy.
  • Facilities Coordinator will maintain a friendly, helpful attitude towards residents, serving as a point of contact with resident related issues and requests.
  • Collect all payments left for PM and arrange for pickup.
  • Programming of intercom directory as required.
  • Post notices on bulletin boards and deliver notices when requested.
  • Complete minor maintenance (plumbing, electrical, painting) when required.
  • Record elevator bookings for move ins and outs. Put on elevator protector pads and remove when moving is complete.
  • Complete daily walkthrough and inspection of the building.
  • Oversee and liaison with the trades and contractors working on the common area systems and grant access as required and approve work upon completion.
  • Maintain power equipment and planning for refurbishment and replacement. ie sweeper, tractor, snowblower
  • Coordinating with the Board of Directors on the implementation and completion of new building projects and major alterations and upgrades.
  • Preparation, research and planning of major maintenance items, looking for cost saving measures.
  • Prepare and deliver a monthly report for Board meetings.

WINTER:


  • Sufficient supplies of sand and ice melt need to be kept on hand. Advise PM if new supplies need to be ordered.
  • Ensure the safety and upkeep of the grounds including snow removal of parking lot.

SUMMER:


  • Plants, flowers need to be watered as required. Work with volunteers to assist.

MECHANICAL:


  • Inspect all mechanical rooms on a daily basis.
  • Report any elevator deficiencies to the elevator company immediately.
  • Replace rooftop filters for air makeup units as required.
  • Monitor inspection dates for fire equipment, permits
  • Conduct Fire/Safety checks as required

Duties as assigned.

What You Bring:


  • Knowledge and ability to do general maintance including small plumbing, carpentry, mechanical, electrical repairs.
  • Must be able to operate various motorized equipment.
  • Strong interpersonal, teamwork, and relationship building skills.
  • Professional written and verbal communication skills with the Board of Directors and residents.
  • Focussed on positive resident issues and deliver information and services as required.
  • Knowledge of Word processing and spreadsheets.
  • Flexible and willing to work extended hours as necessary and to respond at any time to facility related emergencies.
