About the Role


As a Business Services Coordinator, you are the first point of contact for the company and are devoted to creating positive experiences by exceeding expectations with both business and personal interactions.

You bring your resilience and a proactive approach to any project that you tackle. You are always open to lending a helping hand and bring a positive attitude towards everything that you do.

This is a 12-month contract position.


Job Description:


Operational effectiveness:

  • Oversee office operations and logistics.
  • Onboarding & Offboarding of employees and contractors, including related IT and workspace set up.
  • Liaise with key suppliers/vendors.
  • Proactively review and respond to operational needs, adjust services as necessary, and ensures contracts are organized and up to date.
  • Maintain appropriate inventory of stationery and office supplies.
  • Update internal process documentation for the Business Services team.
  • Coordinate and reconcile invoices for payment with Accounts Payable
  • Office reception experience ensure experience is effective and delightful for clients and employees.
  • IT office liaison:

Facilities Management:

  • Ensure appropriate upkeep of common areas and office equipment.
  • Proactively monitor all property and facility related items.
  • Act as the first point of escalation for all reported issues.
  • Acts as liaison with Landlord and point person for facilities cleaning & maintenance; accountable to share building announcements.

Special Projects/Events:

  • Assist with workplace space allocation, including regular updates of floor plans and seating assignment.
  • Contribute to the organization of officewide events.

REQUIRED SKILLS

  • Excellent interpersonal and communication skills, ability to work with a diverse group at all levels of the organization.
  • Strong attention to detail, highly organized and dependable, with strong ability to prioritize and followup, including being flexible and adapt to work effectively in changing situations.
  • Collaborative and able to rollup your sleeve
  • Exercise due care and strive for excellence.
  • Team player and ambassador for process improvements and sharing of best practices.

Qualifications:


  • Minimum 2 years of business or office experience in a progressive, customer service or clientfacing environment.
  • Flexibility to travel between Colliers Greater Toronto Area Offices, Toronto Downtown, West, and North
  • Excellent interpersonal and communication skills.
  • Excellent organizational skills and the proven ability to multitask.
  • Proficient in

Microsoft Office:
Word, Excel, and Microsoft PowerPoint, including Outlook.

  • Ability to work in a fastpaced environment with tight timelines.
  • Ability to work independently with mínimal guidance and supervision.
  • Ability to prioritize and handle multiple tasks at any given time.
  • Experience in the Commercial real estate sector or a related industry would be an asset.
