Office Coordinator_ (aka head of office mojo)_**altavia.cloudraker is looking for an Office Coordinator to bring people together, and keep our office running smoothly. We're especially looking for someone who is bilingual, highly organized, and takes pleasure in handling the details, both big and small. You'll need to put everyone who walks into the office at ease, while running the reception desk, creating a fun work environment and supporting the C-suite to run the business.


If you prefer variety over predictability, feel comfortable chatting with anyone, know how to put together an event, then this might be the role for you.

We're looking for someone to help us bring joy to our team's days and doesn't mind the occasional computer troubleshooting.

Application Ground Rules

Your day-to-day

  • Act as the first point of contact for people getting in touch with our virtual and physical office (welcome clients and guests, sign for deliveries, and send and receive packages, etc.);
  • Support the executive team (President, CEO, and Chief Strategy Officer) in scheduling travel and booking meetings with key contacts;
  • Resolve minor tech issues that come up around the office (i.e. connecting screens, setting up a video call, etc.) following an onboarding process and training period;
  • Organize and coordinate our activities and events (from training sessions and team lunches, to 5a7s and holiday parties);
  • Keep the kitchen clean and humming (i.e. keep our fridge and cupboard full by ordering food, start the dishwasher after lunch, and make sure we never run out of coffee or snacks);
  • Ensure the Montreal and Toronto offices are well supplied and tidy by managing our relationship with cleaning staff and suppliers;
  • Proactively find solutions to improve our operations and collaboration between offices and teams;
  • Work with the building's maintenance team to coordinate repairs and upgrades;
  • Help onboard new employees and get them settled in;
  • Support the team with various tasks as needed. Participation in special projects
  • Various data entry & management for projects;

You have:


  • Excellent problem solving, troubleshooting, and Googling skills;
  • Great communication skills in English and French (you must be able to write in both languages);
  • Event planning experience;
  • A sense of initiative and great interpersonal skills;
  • Exceptional organizational, and analytical skills;
  • The ability to juggle multiple projects and know how to prioritize;
  • Discretion and diplomacy;
  • Some basic tech knowledge (connecting a bluetooth mouse doesn't scare you).

  • An organizational ninja, from scheduling to event planning, it's what you enjoy doing;
  • Proactive and selfmotivated, outgoing, and detailoriented;
  • A natural party planner with a knack for thinking of cool activities and fun spots;
  • Computer literate;
  • Able to balance work and play;
  • An eternal optimist with a positive attitude;
  • Moderately handy, able to lift the occasional heavy box, and have a valid driver's license (would be nice).
  • A teamplayer who doesn't just say yes, but proactively thinks if there's a better way to go about a project than what's originally in mind.
