Monday to Friday 37.5 hours per week; In-Office role

Location: 180 Kent Street, Ottawa Ontario.

Your Role on our Team:

The Office Administrator is a customer-facing role supporting both internal and external clients in the day-to-day functioning of our office, ensuring administrative processes and communication channels run smoothly.


In this role, you will:


  • Assist Receptionist with answering incoming phone calls, greeting and directing guests and accepting deliveries.
  • Sort, distribute incoming/outgoing mail, interoffice mail and courier shipments, key contact for Spot Plus (Canada Post vendor)
  • Act as the key contact for copiers, fax machines, printers, and their supplies, troubleshooting machine issues, first point of contact for service technicians.
  • Be responsible for the Office Supplies shared mailbox, and ordering supplies, including stocking of kitchen supplies.
  • Assist with booking and monitoring meeting room availability, and ensuring supplies and equipment are in working order for each meeting room, including cleanliness.
  • Respond to internal requests relating to IT and building management, including entering and managing service tickets for service requests with property management.
  • Setting up vendors and coordinating payments.
  • Be responsible for Community Sponsorship program including sending requests to EAs, maintaining a record of requests, and responses to requestors.
  • Assist with placing catering orders, as well as venue setup, and cleanup.
  • Support hybrid work arrangements such as being key contact for locker assignments, touchless technology, parking cards, key management system, nameplates, etc.
  • Manage coffee supply orders for Head Office and site offices.
  • Provide administrative support to the HR & Communications teams for various projects & initiatives.
  • Assume other duties within the scope, spirit, and purpose of the job, as requested by management.

We would like you to have:

Education:
High School diploma is required. Post-secondary diploma in office administration is an asset.


Experience:
Minimum 2 years relevant office experience.


Specialized Skills, Knowledge, and Abilities:


  • Solid knowledge of Microsoft Office (Word, Excel, Outlook)
  • Customerfocused with a positive attitude
  • High degree of initiative and exceptional organizational skills
  • Knowledge of French (spoken) is an asset
