The
_Project Manager, Health and Operations,_ is pivotal in leading specialized projects and initiatives to achieve organizational priorities. Projects primarily include program growth initiatives, existing system enhancements, new system implementations and process changes. The incumbent is responsible for building and engaging teams of key stakeholders that enable the fulfillment of project goals.

Moreover, the incumbent performs the evaluation of processes, identifies and articulates vulnerabilities and obstacles, and collaborates with key stakeholders to deliver quality solutions that help enhance the efficiency and effectiveness of the organization while also ensuring to align with the organizational mission, mandate, key strategies and goals.


Key Responsibilities:


  • Responsible for overseeing the planning, development and execution of project deliverables, leading project planning, action plan and monitoring processes
  • Oversee all project activities and be the main point of contact for partners, stakeholders, and the field staff
  • Reviews, recommends and administers contracts and proposals for various services
  • Creates and maintains comprehensive project documentation, plans and reports
  • Coordinates and attends project meetings, and acts as a lead where necessary
  • Prepares, maintains, and distributes meeting minutes as needed
  • Monitors project progress and handles any issues that may arise
  • Manage changes to the project scope, project schedule and project costs using appropriate verification techniques
  • Leads and motivates the project team, coordinates work with consultants, internal and external stakeholders, and volunteers for the flawless execution of projects
  • Develops and implements solutions to any issues, and recommends improvements
  • Maintains transparency and ensures that all practices follow all applicable ministry, legal and legislative requirements, where applicable
  • Responsible for ensuring all projectrelated costs are within the approved budget(s)
  • Manages and takes responsibility of smaller tasks or individual projects
  • Works in conjunction with Reena Procurement Department on all tenders, bid proposals, purchase orders and vendor service needs
  • Travel to/from Reena, Reena Foundation and Batay Reena locations as needed
  • Other duties as assigned

Project Management:


  • Leads development of complex and specialized project plans.
  • Maintains project timelines, deliverables and team activities.
  • Collaborates with content experts to establish project foundations, including baseline data, and scoping of project.
  • Contributes to progress reporting on projects as required for senior management and the board of directors.
  • Conducts retrospective reviews to enable change and improve future projects.
  • Develops contract and agreement documentation related to projects.
  • Identifies documents and monitors project risks and mitigation strategies throughout the project lifecycle, in collaboration with department leads.
  • Analyses project and change requests, their impact to the project portfolio and escalate concerns to stakeholders.
  • Participates in sectorwide forums, initiatives and projects.

Process Development & Optimization

  • Works crossfunctionally as a thought leader and partners with other department heads to identify process gaps/risks.
  • Builds change management plans to resolve, streamline and optimize workflows.
  • Develops process maps to introduce updated or new processes and to clarify department, team, and individual roles and accountabilities within the workflow.
  • Stays up to date with the latest technology and improvement strategies.
  • Facilitates strategic decisions by key stakeholders by sharing context and building a process that delivers on organizational goals.

Research Analysis

  • Researches sectorrelated trends and competitive intelligence and prepares presentations to support management approval of proposed growth plans.
  • Consolidates information into digestible dashboards, reports and actionable items.
  • Recommends changes and improvements based on research findings.
  • Liaises with other community agencies that can provide useful data and insights.
  • Be a resource for other staff members and students.

Skills, Knowledge and Expertise:

3-5 years of relevant experience in health or social service management

Bachelor's Degree, Business Management, or equivalent

Project Management Professional (PMP) designation or working towards

Excellent comprehension and use of Microsoft systems (Excel, Word, PowerPoint, MS Project)

Demonstrates strong leadership and ability to work well with others

Experience in the not-for-profit sector an asset
