The Welcome Centre Officer provides friendly customer service by greeting every client visiting the Centre to assess their needs and provide assistance.

Clients include current students, prospective students from varying backgrounds, parents or guardians, individuals new to Canada, job seekers and those interested in pursuing continuing education, employment or training for career advancement and/or change.

The incumbent provides general information on Conestoga College's programs and services, is familiar with Conestoga's different academic and service departments and can effectively triage queries and refer clients to applicable resources and advisors.

The role also provides service to clients in navigating queuing and appointment software for client direction.


Hours of work will be up to 24 hours per week, based on a pre-determined schedule, during our business hours, Monday-Friday, 8:30am-4:30pm.


Responsibilities:


  • Provides timely and accurate information and direction to students and visitors concerning College Services in a customer serviceoriented environment
  • Maintains uptodate knowledge of College policies, procedures, and practices regarding dates relevant to the admission process, forms and documents, and student confidentiality
  • Provides guidance and support to students experiencing problems accessing or obtaining information and services, and refers to the appropriate service or program area for resolution where appropriate
  • Refers students to an online booking system to schedule appointments for Counselling Services, Accessibility Services, Learning Services, and other student service areas.
  • Assists with the management of the Q-Flow queuing system including monitoring service delivery and flow, maintaining the operation of the kiosks, performing user account functions and assisting clients and new users with kiosk operation
  • Answers general questions regarding programs and services of interest to each client
  • Acquires knowledge in, and remaining current on Conestoga College programs and courses including basic requirements for admission or transfer, and the services provided by other areas of the College related to academic advising, career advising, and academic preparation and testing
  • Uses tact and discretion along with problemsolving skills to resolve any client issues or complaints to ensure client satisfaction
  • Provides coverage of administration duties for other staff during vacation periods and other absences
  • Maintains paper supply and the maintenance schedule of the Welcome Centre photocopier, sorting incoming campus mail, and hanging/distributing campus posters and communications
  • Assists with domestic student recruitment material distribution and mailing
  • Evaluate recruitment research to make recommendations for change or improvement to recruitment services within the Centre
  • Provides support, direction and guidance to staff members working in various departments in the Welcome Centre
  • Ensures consistent and effective procedures are coordinated in alignment with other satellite campuses
  • Analyzes statistical data, monitoring trends and patterns, evaluates the effectiveness of delivery models, identifies key issues, and targets continuous improvement
  • Liaises with campus ITS, Security, Facilities Management, Housekeeping, Campus Managers, Registrar's Office Management team and other stakeholders as appropriate for collaboration and quality assurance
  • Participate in events and deliver workshops or information to groups of clients within the Welcome Centre when necessary and provide backup support by delivering campus tours

Qualifications:

  • Two-Year Diploma in Business, Office Administration, Social Sciences, or a related field
  • Two years of practical experience preferably in an educational setting
  • Customer service and independent judgement are necessary in order to deal with students, staff and faculty in an office environment
  • Strong critical thinking and problemsolving skills
  • Excellent interpersonal and communication skills
  • Sensitivity, compassion, and a studentcentered approach are imperative
  • Ability to work under pressure with frequent interruptions, excellent time management and problemsolving skills, adaptability and flexibility while continuing to meet deadlines.
