Your opportunity:
The Department of Surgery is a strong network of faculty and learners, and traverses six fully affiliated hospitals and an expanding number of community-affiliated hospitals.
We have an extremely large fellowship program which sees approximately 200 fellows from 15 countries coming each year to learn with our surgeons.
As the Postgraduate Assistant, you will support the day-to-day operations of the Department of Surgery, Postgraduate Education Program at the University of Toronto.
This role will work closely with the Postgraduate Coordinator and liaise with prospective students, applicants, current students and other stakeholders to provide a broad range of student services and program support.
With superior organizational skills, you will coordinate program activities and schedules, and maintain senior staff calendars for the program.You will act as the first point of contact for general enquiries and assist with disseminating program and service information.
Your organizational skills and attention to detail will contribute to the program's success.Your responsibilities will include:
- Maintaining course information on student information systems; generating reports
- Checking resident database toconfirm resident identification
- Preparing and disseminating examination timetable; scheduling exam invigilators as well as collecting and organizing course/room requirements
- Maintaining information on digital platforms, databases and websites
- Preparing and distributing meeting documentation; updating procedures manual and writing routine documents
- Determining logístical details and activities for events and programming, including booking speakers for program events
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three (3) years of relevant work experience within a postsecondary/hospital setting
- Demonstrated experience collating and organizing data for reports
- Experience coordinating events, including implementing virtual event technologies
- Demonstrated experience drafting correspondence and documentation
- Demonstrated experience fostering positive relationships with internal and external stakeholders
- Advanced proficiency in MS Office Suite, student information systems (Quercus)
- Familiarity with enterprise video communication platforms (e.g., Zoom, MS Teams)
- Excellent interpersonal and communication skills, including verbal and written
- Strong problem solving and analytical skills
- Exceptional organizational and time management skills, and flexibility in adjusting to changing circumstances
- Ability to work well within a team driven by frequent deadlines
