Position Description:

Medical Services at Surrey Place is seeking a Program Assistant.

Reporting to the Operational Lead Medical Services, the Program Assistant is responsible for providing administrative and clerical support to physicians and nurses who are part of Surrey Place's Medical Services team, in order to ensure effective and efficient operations.

Additional administrative support will be provided to the Adult Services team.


Main Responsibilities:


  • Responsible for the support with reconciliation of OHIP billings, for a group of physicians.
  • Communicate and work with community partners, health care agencies and ministry staff from other sectors such as Health.
  • Accurately input data, create and upload documents using multiple electronic filing systems.
  • Responsible for the purchase requisition process for the Medical Services team.
  • Awareness of electronic calendar schedules for a team of physicians for the purpose of coordinating meetings.
  • Working in a standalone capacity to provide administrative support at meetings for Medical Services.
  • Support the medical team with academic presentations and arrange formal and informal meetings/events.
  • Collate clinical data and relay this information in a precise and timely manner to colleagues within and outside of the organization.
  • Support any additional administrative needs for physicians and other staff working both onsite and remotely.
  • Intake/Record management; both hard copies and within the CRM database.
  • Assist with coordination of medical student/trainee placements.
  • Other duties as assigned based on the needs of the programs (Medical and Adult Services).

Qualifications:


  • Completion of a relevant postsecondary Medical Office Administration Program is an asset.
  • 12 years related medical administrative support experience which includes calendar management for physicians, utilization of electronic medical records and submission of OHIP billings.
  • Experience working in a health care environment preferred.
  • Previous on the job experience doing data entry and working with Microsoft Office 365 including Excel and OneDrive.
  • Very good command of medical terminology and familiar with Personal Health Information Protection (PHIPA) regulations.
  • Demonstrated experience in customer service and family/patient centred care.
  • Demonstrated ability to exercise sound judgement, work independently and as a team player when required, and prioritize time sensitive requests.
  • Excellent communication skills, both verbal and written, and interpersonal skills, with proven ability to work well with a diverse group of individuals.
  • Superior time management, organizational skills, accuracy, and attention to detail required.
  • Working knowledge of Microsoft CRM (Client Relationship Management), Adobe Pro and CabMD is preferred.
  • Fluency in French is considered an asset.
