Position Overview:


Reporting to the Supervisor of Administration, the Administrative Assistant is the first point of contact at the Public Works main facility.

Working in conjunction with the administrative team the incumbent responds to visitors, external customer inquiries, supports internal staff and facilitates access to the Public Works main facility.

In addition, they are responsible for data and document management and perform a variety of administrative and clerical duties.


Responsibilities:


  • Reception and Office Administration including
  • Greet, register and announce visitors attending meetings or events.
  • Assess, evaluate, direct and responds to inquiries regarding Public Works service requests.
  • Process and verify employee time records adhering to the Collective Agreement requirements.
  • Maintain, create, verify, print, and file various records, both hard copy and electronic daily (i.e. production reports, Eco-Centre and recycle tracking, playground inspections, etc.).
  • Provide and verify completion of snow hauler contracts, creates snow contractor truck rotations, issues snow hauling permits and tracks snow contractors time accumulation.
  • Issue invoices to contractors for snow dump disposal.
  • Generate, send and file reports to/from solid waste contractor daily (i.e. collection reports, new bin pickup reports, contractor damage reports and missed bins).
  • Receive payment, input payment and generate reports regarding the cemetery program.
  • Maintain department records for Alberta One Call, toolbox meetings, call out reports, sewer reports, etc.
  • Create Alberta One Call locate packages and assists staff when submitting internal Alberta One Call requests.
  • Collect responses from external companies (i.e. Fortis, Telus, Atco) and acts as liaison between external companies and staff including emergency locates for Alberta One Call.

Qualifications:


  • Postsecondary certificate in office administration, business or equivalent an asset.
  • Two (2) to three (3) years of related experience.
