Position Summary
We are currently seeking a dynamic healthcare administration professional to join UHN's Medical Affairs team as Program Coordinator.

Reporting to the Senior Advisor, Medical Affairs, the Program Coordinator will work closely with the Chair of the Medical Advisory Committee (MAC), the Physician Well-Being Lead, the Executive of the Medical Staff Association (MSA), and the Medical Director of Quality and Safety on various projects and provide support for their functions.


The Program Coordinator is crucial to the operation of UHN's Medical Affairs portfolio, encompassing administrative and logístical support, research support, event planning and scheduling, communications, and participating in meetings and events.

The Program Coordinator will draw on their administrative, communication, research, and project management skills to support the design and delivery of projects and programs with oversight from various physician leaders.

There will be opportunity for some work to be completed remotely; however, on-site presence will be required for some duties.


Duties

  • Coordinate meetings and events logistics, catering, AV, venue booking
  • Prepare and circulate agenda and materials for meetings, and coordinate invitations
  • Liaise with presenters, guests, and internal and external stakeholders
  • Provide onsite support for meetings and events (occasional evening and weekends required)
  • Troubleshoot any AV issues for remote attendees
  • Draft meeting minutes and Key Messages
  • Draft and distribute communications and serve as point of contact
  • Research and data analysis
  • Maintain financial records and coordinate payment of vendors
  • Oversee Physician Multi-Purpose Hub supplies, technology, internal services
  • Participate in meetings with internal and external stakeholders
  • Other duties for the portfolio as assigned

Qualifications:


  • Completion of a Bachelors Degree or recognized equivalent
  • 2 3 years relevant experience. Experience working in a health care environment is an asset
  • Interest in hospital administration
  • Strong interpersonal skills with a high level of professionalism and accountability
  • Ability to work well under pressure and use good judgment in assessing and responding to challenging situations and with competing demands
  • Outstanding customer service skills, and ability to interact with, engage, and build relationships with diverse stakeholders including physicians, leaders, and employees from across UHN, and external partners
  • Strong analytical and problemsolving skills and proven ability to research and summarize information for different audiences
  • Ability to produce high quality work in accordance with UHN standards
  • Ability to maintain confidentiality
  • Strong organizational skills scheduling, planning, coordinating, time management, and attention to detail
  • Excellent verbal, written, and multimedia communication skills
  • Knowledge of medical and terminology is an asset
  • Excellent computer skills including MS Teams, Word, Excel, PowerPoint, SharePoint, and Zoom
  • Experience with meeting or event design and logistics
