ADMINISTRATIVE COORDINATOR
Family Supports and Community Settlement Program
Location:
Main Office and Pembina & Grant Office
Term, Full-Time (1.0) EFT Position
Term ending March 31, 2024(with the possibility of an extension)
Classification/Salary:
AC lll - $36,938 - $43,922 per annum
Reporting to the Manager, Family Supports for Newcomers and Community Settlement
is responsible for overseeing, supporting and delivering administrative support and coordinating Pembina office services.
This includes providing administrative support and assistance to the office teams, data entry, generating reports, attending meetings and recording of meeting minutes, retaining and archiving documents, disseminating information as requested, and involved in the procurement of office and program supplies.
QUALIFICATIONS
Education
Completion of post-secondary education in an administrative services discipline
Experience
- Proven experience acting as an administrative support to a senior leadership team or providing administration support for a social services organization using best practices
- Proficiency with problemsolving, decision making, analytical, effective communication (verbal and written)
- Experience with Microsoft Office products (Word, Excel, PowerPoint), Google Workspace, Information Systems and Data Bases. Experience with ICare an asset
- Experience in organizing meetings andevents
- Experience in preparing records, minute taking and adherence to confidential matters
Knowledge, Skills and Abilities
- Demonstrated understanding of administrative theories and practices
- Proficiency with computer skills including Microsoft Office products (Word, Excel, PowerPoint), Google Workspace, Information Systems and Data Bases.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Oversee and support all administrative duties for the newcomers and settlement programs and ensure that the programs administrative support is consistent.
- Extracting, tracking and entering data in databases and other data tracking systems and helping to maintain filing systems. Generating reports as requested.
- Supporting registration of program participants at larger everts such as children's camps as required
- Initiating the procurement and maintain office and program supplies inventory at the Community Settlement office by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies in coordination with the administrative coordinator at the main office
- Organizing, attending meetings and recording of meeting minutes, retaining and archiving documents, disseminating information as requested.
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Assist in basic Social Media updates for Community Settlement Program outreach as required.
Other duties as related to the position and as reasonably assigned by the manager, or as circumstances dictate, all within the context of Family Dynamics' Mission, Vision, and Guiding Principles as well as a strong and progressive customer service and community service orientation.
As a condition of employment, applicants will be required to provide a satisfactory criminal records check, including vulnerable sector search, and child abuse registry check, within 3 months of present date.
