Reporting directly to the Clinical Leader/Manager, the Clerical Assistant will be responsible for performing a broad range of administrative, clerical support to daily operations in the Breast Centre.
Functioning as an integral part of the health care team, the Clerical Assistant will rotate through the various job assignments in the clinic and will be accountable for:DUTIES & RESPONSIBILITIES:
- Provide professional and personable first contact by phone and in person for patients, staff and visitors
- Operating multiline telephones, and responding to inquiries in a friendly timely manner; manage and book referrals including outpatient appointments, followup appointments, patient procedures as per guidelines and within established timelines
- Perform reception duties which include assembling and preparing charts for each clinic; registering patients, obtaining and checking demographic data from each patient on arrival
- Monitoring patient activity and patient flow in the various clinics
- Utilizing computer equipment and various software packages, i.e. Microsoft Word, Outlook, MS4, Syngo, Soarian, ICMS etc.
- Perform other clerical duties such as; photocopying; faxing; mailings; orders and maintains inventory of supplies; collect unit statistics;
- Interact with multiple stakeholders such as physicians, clinical staff (RN, Medical Technologists), Cancer Care Ontario, patients, families, visitors, admin secretaries, volunteers and intradepartmental supports (Medical Imaging, Environmental Services, Information Technology)
- Proficient in ICMS(Ontario Breast Screening Program) to enter and retrieve patient data as required
- Responding to inquiries including patient safety concerns and taking appropriate corrective action;
- Other duties as indicated.
QUALIFICATIONS:
- Graduate of a recognized Office Administration program or equivalent
- Must have a Medical Terminology Certificate
- Must have previous clerical experience in an outpatient unit.
- Must have flexibility in rotating job assignments
- Must be proficient in MS word and Outlook
- Experience with Syngo, MS4, Soarian and ICMS (OBSP) software systems an asset
- Demonstrated oral and written English language skills to communicate with patients and team members with the ability to operate multiline telephones, respond to inquiries and redirect calls as appropriate.
