Job Duties:
First point of contact for office phone calls, walk-ins and general inquiries. Greet visitors; ascertain nature of business and direct visitors to the employer or appropriate person.
Answer telephone and electronic enquiries and relay telephone calls, messages and tickets.

Provide administrative support to ensure efficient operation of the office and perform office administration tasks, such as copying, scanning, and filing documents (electronic and by paper).

Set up and maintain manual and computerized information filing systems, determine and establish office procedures, oversee general organization and cleanliness of office space and inventory supplies.

Executive assistant duties including but not limited to calendar management, schedule and confirm appointments and meetings of the employer, report preparation & support, meeting support and event planning, follow up on deadlines and commitments.

Perform full bookkeeping cycle (Accounts payable, accounts receivable, payroll, taxes, bank and credit card reconciliation, track vacation, bonuses, and expense reports, maintain up to date records on accruals, prepaid expenses, and a fixed asset to ensure accurate month-end accountingetc.).

Perform transactions on behalf of the company, such as e-transfers and bills.
Prepare, edit and proofread correspondence, invoices, reports and related material for the company.
Perform marketing duties as needed.
Consistently exercise discretion in managing correspondence, information and all matters of confidentiality.
Perform other duties as assigned or determined appropriate.


Requirements and Qualifications:
Excellent planning and time management skills.
Excellent organizational and interpersonal skills; relationship and networking skills
Strong and effective communication and presentation skills both oral and written.
A keen eye for detail and organization.
Ability to multi-task and to stay calm in a fast-paced work environment.
Have strong written and verbal communication skills and strong interpersonal skills. Proficiency in English is mandatory.
Proficient in office technology and software including MS Office.
The ability to work outside of normal business hours.
High level of professionalism and integrity.
Flexible and adaptable attitude. Must be punctual in reporting to work.
Be a team player.
Be able to work independently on tasks assigned.
Attention to detail, self-directed, strong tech and social media skills, discretion, customer-centric.


Education/Experience:
Business degree (Nice to have).
Marketing or related (Nice to have).
Computer-related Education/Courses (Nice to have).
Driver's license and vehicle (Nice to have).
