Production Centre Assistant:


Communications Unit, Corporate Services Department

  • Permanent Position, Category 13 Hiring Range: $50,428 $55,833_


Reporting to the Team Lead/Production Officer, this position handles mail and courier operations, provides print production service and support, and administers inventory management, including supplies ordering.


Responsibilities

Mail and Courier Services:

  • Handle requests received via ticket system
  • Process and distribute daily inbound mail, courier, packages, and faxes, in a timely manner
  • Ensure mail marked confidential is held secure and delivered unopened to the recipient or their executive assistant
  • Process outbound mail and packages for daily pickup by Canada Post and couriers; arrange for pickup and track packages, as needed
  • Review supplier account orders, track statements and reconcile monthly invoices.

Printing, Finishing and Circulation:

  • Handle requests received via ticket system
  • Liaise with internal clients to review print requests, as needed
  • Operate desktop jobbuilding, printing, copying, bindery finishing and collation
  • Perform quality assurance review of products, including image quality, colour correction, and document proofreading for correctness and legibility
  • Coordinate job pickup or distribution, as needed.
Printing and Postage Equipment

  • Handle supply replenishment and equipment malfunction reports received via ticket system
  • Maintain 9095 per cent service level uptime for printer fleet
  • Place service calls for routine maintenance and/or technical support
  • Provide monthly account summary and service reports to Team Lead/Production Officer
  • Review account statements and reconcile quarterly invoices.

Inventory Management:

  • Review and fulfill publication orders and office supply requests received via ticket system
  • Handle and organize packages, cartons and office supplies
  • Place online orders to replenish consumable supplies, as needed
  • Identify and escalate requests for special orders with Team Lead/Production Officer
  • Review supplier account orders, track statements and reconcile monthly invoices.

Other duties:

  • Maintain standards for a safe, friendly and efficient workspace
  • Assist colleagues, service providers, and visitors at production centre counter
  • Provide a daily operational summary to Team Lead/Production Officer
  • Participate in team meetings
  • Additional duties as assigned by the Team Lead/Production Officer or Manager of Communications.
