Events Operator Ii - Ottawa, Canada - Aramark
Description
Answers customer/client inquiries and provides general information about events services.- Answers the SERVICE phone line and promptly gets service to the affected client
- Administers the Impressions Survey Program
- Creates all weekly and daily agendas and reports for the department
- Take and process exhibitor orders for events and coordinate other Event Service Managers activities.
- Creates and Maintains Food Labels
- Supports the ESM team to assist with the details of the event prior to the day of show
- Books and confirms internal events as directed
- Plans select client events
- May make travel arrangements and other administrative responsibilities as assigned by the General Manager.
- Use Ungerboeck and Social Tables software
- Understands the importance of accurate, timely information and meets system deadlines which affect the ability of others to conduct planning and scheduling work in a timely fashion
- Knows and comply with all ARAMARK and client policies and procedures regarding safety, security and emergencies
Responsibilities:
- Administrative proficiency; excellent keyboarding skills and organizing skills
- Ability to constantly operate office machinery and equipment; prolonged sitting
- Ability to constantly communicate, verbally and in writing, with clients, component management and ARAMARK staff
- Ability to frequently provide statistical analysis and to constantly utilize information technology to submit statistical and financial reports to component management
- Ability to constantly respond to changing demands from management, clients, and guests
- Ability to constantly interact with the public, suppliers and internal planning staff
- Ability to work irregular hours, flexible hours, nights, and weekends
- Ability to constantly move about a large facility, which could span several hundred thousand feet, and to perform work responsibilities, inspections, client tours, and various meetings
- Ability to occasionally handle and transport objects in excess of 50 lbs
- Ability to process billing
Qualifications:
- Position requires a diploma or certificate with hotel and convention knowledge and experience
- Ability to communicate (both verbal and written) effectively with clients, customers of the client and support staff.
- Bilingualism (English and French) is mandatory.
- Ability to write business letters, summaries and reports, using prescribed format and conform to all rules of punctuation, grammar, diction and style.
- Requires independent administrative leadership skills and the ability to work with confidential employees, client and ARAMARK information with diplomacy and professionalism
- Requires a sense of urgency to meet constant deadlines and entering of information which others rely upon to complete their work tasks
