Manage daily front desk activities for the Vancouver/Richmond Occupational Health Clinic including supervision of clerical staff and supervision of the scheduling activities and recordkeeping functions;

Key Functions & Accountabilities:
(Responsibilities, Activities, Authority levels, etc)

  • Implement and ensure compliance to Occupational Health Services standards and operating procedures.
  • Assist in developing budget of YVR OHS administration as well as working with vendors and suppliers with contracts and on invoice reviews and adjustments as required
  • Assist departments in order to comply with occupational health legislation for specific roles (for example: health assessment, audiometric testing, visual testing, pulmonary function testing etc.).
  • Support nursing staff in carrying out daily activities in YVR OHS clinic including triage of referrals and walkins, preliminary work for medicals and any medical emergencies
  • Plan and organize the daily activities of the clinic. Assign daily duties to clerical staff
  • Ensure smooth and efficient front desk operations. Responsible for all clinical medical equipment and supplies including proper inventory, storage and repairs (i.e. Aircraft medical kits)
  • Provide training and supervision of electronic medical records and collect timely and accurate metrics
  • Collect and assess data (for example, incidents of illness, injury) to identify trends and evaluate the effectiveness of programs.
  • Ensure the confidentiality, integrity and accuracy of employee health records and data.
  • Participate in the development of prevention programs
  • Other duties as assigned.

Qualifications

  • College diploma, medical office administration training
  • Medical office experience, preferably 5 years.
  • Experience in overseeing administration of occupational health clinics.
  • Math and data analytics skills an asset
  • Strong communication skills, both oral and written
  • Sound judgment, good interpersonal skills, ability to work in team environment
  • Excellent problem solving and critical thinking abilities, capable of working and making timely decisions under stressful conditions.
  • Must be able to work independently as well as in a team environment
  • Self motivated individual with proven organizational and counseling abilities, ability to work effectively with employees, management, unions and physicians.
  • Competent PC skills using

Microsoft Products:
Word, Excel, Project, Teams

  • Experience and training in electronic medical records, preferably TELUS PSS
  • Able to work varied hours, weekends and travel by air to other stations as required. Travel 5%
