Reporting to the Associate Director, Program Delivery, the Executive Programs Administrative Support provides administrative support to EP's central services and resources team and to other areas of Executive Programs, including Marketing Communications, EP Finance and the various portfolios of programs.

As a member of the Executive Program's team, the Executive Programs Administrative Support must practice professionalism and sound judgment in all interactions while maintaining high service standards as defined by Executive Programs.

The individual will abide by EPs and Rotman's set of values in how the position interacts with clients, faculty and staff.

A strong customer service orientation, highly developed organizational skills and the ability to multi-task, using sound judgment in prioritizing conflicting demands are also essential.


The Executive Programs Administrative Support must display tact and diplomacy in dealing with clients, participants, specialguests, visitors, faculty, staff, and suppliers.


Your responsibilities will include:


  • Acting as the first point of contact for general enquiries
  • Resolving issues within the scope of the role andescalating problems as required
  • Booking rooms and arranging appropriate accommodations
  • Analyzing needs and recommending appropriate technologies for teaching/learning goals
  • Providing detailed information and demonstrating the use of technology
  • Determining actionable items based on the review of applicable information
  • Determining logístical details and activities for instructor development and training sessions
  • Analyzing client needs, making recommendations and organizing event logistics and options

Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of related administrativeexperience required, preferably in an academic environment
  • Excellent project coordination and event management skills
  • Ability to cope with pressures and deadlines and adapt to evolving processes and procedures
  • Ability to deal effectively with multiple priorities and projects with conflicting deadlines while maintaining a high degree of accuracy and high quality.
  • Strong communication skills, both verbal and written
  • Public Speaking and great interpersonal skills
  • Ability to assume responsibility and work on own initiative, and also collaborate with others
  • This position will be required to work a variety of hours and shifts. Early morning, evening and/or weekend shifts might be required
