PrivacyWorks is a fully remote company with a growing team based in communities across Canada - including Toronto, Ottawa, Edmonton, Vancouver, and Victoria - all with varied areas of expertise, allowing our clients to receive comprehensive support on a wide range of issues and projects.


Responsibilities


PrivacyWorks receives often large volumes of raw files and data from our public-sector clients for processing and release under Freedom of Information (FOI) and Access to Information (ATI) laws.

The Data Management Coordinator will play a pivotal role in compiling, sorting, vetting and preparing these raw files into optimized, review-ready (i.e. PDF format) files to be assigned to our team for review.


Specific responsibilities:

  • Oversee the secure transfer of client files and data into PrivacyWorks custody, auditing for quality and troubleshooting issues towards prompt, clientfocused resolutions.
  • Use eDiscovery and digital forensic software to bulk index, vet, deduplicate, sort, convert and otherwise prepare large volumes of raw files into compiled, reviewready PDF documents.
  • Manually convert potentially large volumes of various file types (e.g. spreadsheets, highres images, etc.) to PDF quickly and accurately, formatting for optimal legibility and file size.
  • Review final prepared documents against source files to ensure completeness and accuracy, and manually reconcile any remaining issues with a keen eye for detail (e.g. missing or misplaced attachments, conversion errors, duplication, page orientation, etc.).
  • Generally, support the PrivacyWorks team with processing ATI requests as needed by drafting a variety of correspondence (acknowledgment letters, time extensions, fees, response letters, etc.), occasional redlining support, preparing records for disclosure, sending response packages to applicants, and preparing and transferring final processing records back to our public body clients for final retention after a request is complete.

Employment Requirements

  • You are technically minded with a keen interest in learning, troubleshooting, improving, and refining technical processes across multiple systems and software.
  • You have direct experience working with eDiscovery or digital forensic software like Nuix, Relativity or IPRO.
  • You are highly organized, meticulous, and willing to roll up your sleeves to get the job done.
  • You are selfmotivated and driven to deliver exceptional results, both independently and as part of a team.
  • You have a sharp, analytical mind and enjoy the challenge of solving unexpected issues and developing new processes.
  • You have longterm interest in building a career within the FOI/ATIP field. Prior experience in these fields is considered an asset.
  • You are a strong communicator who can relay important information, concepts and procedures to clients while maintaining a positive, customeroriented tone.
  • You have a proven ability to prioritize and multitask.
  • Ability to work independently and as part of a team.
