Your role as Knowledge Management Specialist:

The Knowledge Management Specialist will be responsible for control, security, accessibility, and timeliness of organizational documents that may be used by/useful to more than one employee, such as policies, procedures, processes, forms, templates, and training materials.

The Knowledge Management Specialist will also maintain continual improvement of the documentation process partnering with stakeholders throughout the company.

This role will partner with company departments to lead and guide best practices for team collaboration and content management across the company.


What you'll be doing:


  • Conduct needs assessments to identify document management requirements of departments or end users.
  • Develop, document, or maintain standards, best practices, or system usage procedures.
  • Assist in the development of documents or content classification to facilitate information capture, search, and retrieval.
  • Manage organizational documentation through the document life cycle and the document management system.
  • Identify and investigate the need for documents of various types.
  • Ensure that organizational documents go through a documented and approved reviewandapproval process before being stored or published.
  • Conduct document audits and develop trail and tracking process.
  • Document archiving and retention.
  • Ensure that internal controls are in place and are functional.
  • Ensure the security, accessibility, and proper distribution of organizational documents.
  • Help develop and enforce documentation design, review, and storage guidelines.
  • Assign/approve user privileges.
  • Plan and conduct meetings and presentations related to document management.
  • Research, select and setup document management tools.
  • Prepare support documentation and training materials for end users of document management systems.

What we're looking for:


  • Experience in document management and document management systems or content management systems (software is preferred).
  • Use of service management platform 2+ years, preferably Atlassian experience with Jira, Jira Service Desk or Confluence.
  • Ability to communicate effectively with both technical and nontechnical individuals.
  • Bilingual in both French (asset) and English (mandatory) as we have global crossfunctional teams.
  • Demonstrated ability to prioritize and push forward in an ambiguous environment or with changing priorities.
  • Track record for being detailoriented with a demonstrated ability to selfmotivate and followthrough on projects.
  • Strong analytical, organizational, exceptional listening, problem solving, negotiation, and facilitation skills.
  • High energy, innovative individual who is motivated by challenging assignments.
  • Basic Project management skills.
  • University or college degree preferred.
