Team & Job Overview
The Small Business & Partnerships (SB&P) is currently looking for an enthusiastic, self-motivated and seasoned administrative professional to fill the role of Executive Assistant.
This role will appeal to a highly organized individual, with a strong service orientation, who wants to contribute to the success of numerous key initiatives with the EDC's SB&P Group.
The Executive Assistant will report to the Senior Vice President (SVP), but will also support the VPs within SB&P.In addition, the Executive Assistant is expected to actively contribute to further developing an environment of continuous improvement within the team.
Discipline Summary
- Supports general business operations by providing various administrative support activities as a generalist or in a combination of disciplines in an Administrative Services role
- Provides administrative support primarily to the SVP and provides support to the VPs and the team at large, as needed.
- Arranges business travel, coordinates meeting arrangements, and tracks expense
- Identifies, enhances and follows specific processes and procedures to maximize the efficiencies of office workflows to which the support is being provided
- Oversees social media content for SVP, as needed
Key Responsibilities
- Provide administrative services including, but not limited to handling correspondences, coordinating agendas, managing workflows, routing information, preparing documents and presentation materials, arranging logistics, processing inquiries and administering budgets
- Partner with other external Executive Assistants to organize meetings with executives or senior officials representing clients or partners
- Manage primarily the SVP's calendar and, as needed, the VPs' calendar by coordinating and arranging meetings, conferences, travel and business itineraries.
- Organize the collection, verification and online posting of executive travel and hospitality expenses in accordance with Treasury Board Secretariat requirements.
- Responsible for assisting with the preparation, forecasting and accruing for corporate budgets, managing purchase orders and expense payments, the monthly reconciliation of expenses, and the preparation of various management reports
- Prepare the SVPs and VPs with the appropriate background information/documentation, preparing meeting packages and consulting with the appropriate people/business groups
- Provide records management services by filing documents, information storage and retrieval services including classification, organization and electronic data/Information entry or retrieval for the entire group
- Provide support services to other Executive Assistants as required
- Solve administrative problems and initiates improvements to administrative standards, controls and processes
- Other duties as assigned
Screening Criteria
- College diploma or Undergraduate Degree in Business, Administration or other related discipline
- Minimum 3 years of experience in the administrative field, supporting at the senior executive level, including time management, budget management, research and information management with exceptional customer service and ability to quickly reprioritize
- Experience in using social media platforms
- Bilingualism in both official languages (English and French)

- Experience in business analytics and reporting
Salary Range
- $56,100 - $84,300, plus performance-based incentive
