We are seeking an Office Assistant to join our team working out of our Vancouver office to be the ambassador of creating the ultimate MLA Experience.

You will report to the Director of HR and join our Operations team that supports creating a welcoming environment for our guests, clients and our team members.

Please note, only residents of the Lower Mainland will be considered as this role is working full-time daily in our Vancouver office.

Depending on your experience and knowledge, your core responsibilities will be but not limited to:

  • First point of contact; greeting, welcoming and directing all guest of MLA appropriately
  • Answering the switchboard, screening and forwarding incoming phone calls
  • Continuously enhancing the overall home buyer experience when receiving deposits and working with MLA Complete team to ensure effective communication and workflow
  • Receiving and sorting daily mail/deliveries/couriers and office deposits
  • Champion of office rhythms, health and safety support, yearly maintenance requests
  • Ensure the entire office is tidy and presentable always being client ready and adhere to MLA Shine
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Ordering and maintaining office supply inventory and tracking budgets
  • Reconciliation of credit cards via concur to ensure on budget
  • Track and monitor components of the Operations budget in collaboration with team
  • Champion happy hour and connection opportunities weekly for organization
  • Be a champion of the MLA Experience and support our culture connected initiatives organization wide
  • Update calendars and schedule meetings for various departments
  • Arrange travel and accommodation, preparing itinerary if applicable
  • Collaborate with Executive Assistants when necessary to support executive team
  • Support Culture Committee and Social Committee with setup and other tasks for client and corporate events
  • Collaborate with HR to assist with onboarding and offboarding duties
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing when necessary
  • Supporting HR with IT inquiries and troubleshooting when necessary to ensure meeting rooms are efficiently set up

WHAT YOU BRING TO THE TABLE

  • 13 years of office experience mandatory
  • Relevant education (Certificate/Diploma/Degree) from a recognized institute or working towards
  • Previous customer service experience and the ability to make a positive impact on those around you
  • Ability to produce results independently while maintaining a positive team environment
  • An amazing attention to detail with an ability to thrive in a fastpaced environment
  • Professional with excellent written and oral communication skills
  • A passion for people, always going above and beyond the ask to ensure those around you are supported and take care of to the best of your ability
  • Timemanagement skills working under pressure with multiple projects and timelines
