As an Event Administrator, you will be responsible for managing projects from start to finish, ensuring their timely completion and accuracy.

Your role will involve developing and monitoring event schedules, maintaining communication with team members and clients, and serving as a valuable point of contact with our clients.

We are looking for a confident, professional, and reliable individual with strong communication, collaboration, and organizational skills. This position will be a hybrid role, with a combination of in-office and work-from-home responsibilities.


Responsibilities:


Event Planning and Coordination:

  • Collaborate with clients to obtain necessary data to initiate and prepare events.
  • Prepare and obtain approval for event invitation design as well as guest list management.
  • Coordinate with vendors and suppliers to secure necessary services and resources.
  • Create and maintain event timelines and schedules.

Administrative Support:

  • Prepare agreements for new and existing clients.
  • Manage event databases and maintain accurate records of attendee information.
  • Manage confidential information with care and discretion.
  • Handle general administrative tasks such as filing, data entry, and correspondence.

Communication and Stakeholder Management:

  • Serve as a primary point of contact for clients, vendors, and internal teams.
  • Communicate event details, updates, and requirements effectively and promptly.
  • Coordinate with marketing and communication teams to develop eventrelated content and collateral.
  • Collaborate with team to ensure their understanding of event objectives, roles, and responsibilities.

Requirements:


  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Attention to detail and ability to maintain accuracy in fastpaced environments.
  • Proficient in using Microsoft 365, with an indepth understanding of Excel (ability to work with large datasets, pivot tables, and data manipulation is essential).
  • Ability to work both independently and collaboratively in a team environment.
  • Exceptional problemsolving and decisionmaking abilities.
  • Proactive in resolving challenges that may arise during projects.
  • Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
  • Professionalism, adaptability, and a positive attitude.
  • Adobe InDesign experience and/or experience editing HTML would be a definite asset.
