We have an exciting opportunity for an
Administrative Assistant to join our manufacturing team in Calgary, AB.

This is a full-time, permanent position, with an excellent benefits package, and room for growth.


Responsibilities

  • Maintain and organize physical and electronic filing systems, ensuring accuracy and confidentiality of documents, records, and reports.
  • Coordinate and schedule meetings, appointments (e.g. with vendors or interviews), and travel arrangements.
  • Prepare documentation, e.g. printing handouts for toolbox meetings.
  • Scan drivers' logs, shipping papers, packing slips and fuel receipts and send to fleet manager.
  • Collect and upload daily Quality Assurance paperwork.
  • Assist with data entry and management of manufacturingrelated information, ensuring accuracy and completeness.
  • Collaborate with various departments and external stakeholders to facilitate effective communication and information sharing.
  • Maintain office supplies inventory, place orders, and ensure proper stocking levels.
  • Create purchase orders, receive goods and process invoices in ERP system.
  • Assist in procurement by requesting quotes and selecting suppliers.
  • Assist with the onboarding process of new employees, including enrolling, preparing necessary documentation and coordinating orientation schedules.
  • Support the coordination of training programs, workshops, and other employee development initiatives.
  • Perform cycle counts for certain consumables.
  • Provide support for specific projects and initiatives, as assigned by the manufacturing department.
  • Make the office a welcoming place for everyone.

Qualifications

  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Proven experience as an administrative assistant or in a similar role, preferably within a manufacturing or industrial environment.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Exceptional attention to detail and accuracy in work.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with integrity and discretion.
  • Ability to work effectively both independently and as part of a team.
