THE POSITION


The Brattle Group, a privately held, global economics consulting firm, is looking for an Operations Assistant (Part time) to join our Toronto office.

This position is responsible for providing administrative and facilities support to The Brattle Group's Toronto office.

The Operations Assistant will provide facilities support including all reception related duties, office maintenance, and catering/meeting set-ups; administrative support to the admin team, principals and the consulting staff in the areas of expense reports, and special projects.

This position reports to the Toronto Office Manager.

Some of the day-to-day responsibilities of this role include:

  • Ensures kitchen, printer and copier stations are consistently neat and well stocked; maintains inventory list of supplies for stock and ordering
  • Ensure daily neatness and tidiness of general office space, common areas, and conference rooms. Maintain a neat, clean and organized reception area
  • Order, set up, and breakdown catering for Community Day lunches and other office meetings/events
  • Distributes mail and packages; orders and restocks mailing supplies. Responsible for ensuring that all daily outgoing mail requests including letters, FedEx, and courier are fulfilled and ready for pick up
  • Be first point of contact for visitors ensuring any security protocols are met with building and within Brattle standard; arrange work space; provide relevant helpful information to visitors
  • Work with IT department to troubleshoot local issues where needed
  • Ensure all new hire workspaces are clean and prepared prior to new hire joining, including IT equipment, new hire swag, nameplate, access card, etc.
  • Keep Office Manager informed of any office related issues such as repairs or building issues
  • Assist with Toronto office initiatives as needed
  • Update and maintain client contacts in InterAction and assist with annual Holiday Card Lists for consulting staff
  • Prepare and submit expense reports
  • Perform copying, binding, faxing, scanning, and materials distribution as requested
  • Assist with BSS initiatives as needed

THE CANDIDATE

  • 12 years of professional experience ideally in professional services environment, preferably in an administrative related position
  • Intermediate knowledge of Microsoft Word, Excel, PowerPoint, and Outlook required
  • Strong ability to take initiative and ownership of projects
  • Must be selfmotivated, work independently, and keep in constant communication with team members and manager
  • Takes pride in working within a highquality, highintegrity organization
  • Maintains strict confidentiality and exercises appropriate judgment
  • Fastpaced office environment handling multiple tasks and demands
  • Ability to work effectively and to interact with team members and manager
  • Ability to concentrate and pay close attention to detail
  • Requires physical activity including some bending and lifting up to twenty (20) pounds
