Description

Reporting to the HR Director and located at Bunzl's Canadian Head Office, this diverse administrative position will be responsible for planning, organizing, and managing office operations and supporting the Divisional Executive team as needed.

This is a full-time and in-office position.


Primary Office Manager Duties and Responsibilities:

  • Provide administrative support to the President and Divisional Executive Team as required.
  • Manage all office operations, including but not limited to office/facility maintenance, landlord liaison, stock office kitchen, washroom and stationery supplies, equipment, lunchroom maintenance (coffee, snacks, etc.), mail and courier service management and management of office key cards
  • Ensure office is ready for visitors/guests at all times, boardrooms are neat and presentable
  • Welcome guests, escort to meeting rooms; offer refreshments; notify staff of visitors' arrival
  • Support all inhouse or offsite meetings, parties, and events as required, including planning, set up, take down
  • Maintain company directories for all branches across Canada
  • Manage travel arrangements and agendas for the President and Divisional Executive Team,, including reservations for flights, hotels, and rental cars, with a strong understanding of company guidelines.
  • Coordinate and prepare for meetings hosted by the Executive Team, including preparing meeting materials, room setup and food ordering if required
  • Manage and promote a safe and welcoming work environment, including active participation on the JHSC.
  • Populate and submit expense reports for the President and Divisional Executive Team as required
  • Other Ad-Hoc responsibilities as required.

Human Resources Support

  • Manage employee service awards program
  • Partner with HR to coordinate internal communications and maintain proper internal distribution lists for communications
  • Organize new hire monthly onboarding (in support of HR & Marketing) including being the primary liaison across all Canadian branches participating, for attendance tracking and welcome package distribution. Be the prime resource at Head Office to ensure new hires have the necessary tools and materials.
  • Track and support employee Learning Management System to ensure compliance training completed
  • Track and maintain Bunzl Canada's Gift Registry reporting
  • Other administrative and HR project support as required

Marketing Support

  • Assemble kits for internal or external promotions
  • Print and collate presentations if required
  • Support RFP submissions with submission check list review, document organization etc.
  • Mail merge of letters to customers or vendors related to moves
  • Coordinate/support corporate sponsorship or community giving events such as Santa Clause Parade, food drives etc.

Education and Qualifications:


  • Postsecondary education in business administration, communications, or a combination of other education and related experience.
  • Experience in office management and administrative support in a fastpaced corporate environment is an asset.
  • Strong skills in Microsoft Office Word, Excel, PowerPoint, Outlook, SharePoint and Teams
  • Enthusiastic and friendly, with a demonstrated clientservice orientation and strong verbal and written communication skills
  • Strong interpersonal skills, and organizational skills are required.
  • Independent and selfdirected with the capability to think outside the box with little direction.
  • Ability to exercise tact and discretion when handling sensitive and confidential matters.
  • Advanced verbal and written communications skills and ability to adapt style to various audiences.
  • Possess strong problemsolving skills and be highly organized to set priorities, attend to details, work effectively under pressure to meet deadlines, and exercise initiative, resourcefulness, and judgment.
  • Must be a highly motivated and energetic individual who enjoys the challenge of working in a dynamic, confidential, fastpaced environment
