Support Staff Temporary Full-time Appendix D Replacement Contract Position (Immediate - March 15, First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)

We require a qualified individual to join the Client Services & Student Fees department. The Fees Clerk will be responsible for processing fees for full-time programs, for Second Career, and International students.

This individual works closely with the Admissions, Records, and Student Financial Services departments and is the first point of contact for students/prospective students regarding fees, payments/payment schedules, and outstanding fees.


Responsibilities:


  • Processing tuition payments for International and domestic students in fulltime programs
  • Confirming fees received to the college through web banking, Western Union, Flywire, and wire transfers, updating the Student Information System (SIS) accordingly for international and domestic
  • Issuing confirmation of tuition letters to students and ensuring letters are uploaded to the international admission portal in a timely manner (48 to 72 hours)
  • Processing refunds for year one, semester one international students throughout the semester in conjunction with the Finance department
  • Following up with international students on missing paperwork for the refund process
  • Processing refunds by issuing appropriate requisitions to Finance
  • Following up and investigating refunds issued by the Finance department not yet received by the international student (may involve contacting various external partners)
  • In conjunction with Finance, following up with international students regarding outstanding fees
  • Entering fees, assessing late fees, and processing fees for domestic/international students as required
  • Assigning "Preregistered" students to "Ready for Registration" as required ensuring course enrolment occurs for domestic students
  • Responsible for ensuring web banking payments are processed in MSGP
  • Developing and producing tailored fee funding correspondence to clients with special circumstances not covered in standard communications (i.e. Second Career, WSIB, TOWES) ensuring accurate program admission requirements, program of study hours, and book costs are reflected in each letter issued

Qualifications:

  • Twoyear Diploma in Office Administration, Business, Computer Applications, or related field
  • Two years of practical experience in a student/client services role; Preferably in a college environment, including one year working in an accounting/accounts receivable role handling money
  • Experience handling financial information (money and deposits) and working accurately with attention to detail
  • Intermediate to expert skill in the use of Microsoft Excel
  • Experience working with large databases
  • Demonstrated ability to work in stressful and demanding situations; organizing, and multitasking to meet deadlines
  • Ability to determine when flexibility can and should be exercised
  • Excellent public relations and communication (written, verbal, and listening) skills, with demonstrated use of diplomacy, tact, and conflict resolution skills
  • Strong interpersonal skills and intercultural awareness are essential to communicate and interact with a diverse student and client base
  • Ability to communicate and explain information to students whose first language is not English in a concise and understandable manner
  • Demonstrated ability in handling sensitive and confidential information
  • Must be able to work in a team environment as well as independently
  • Must be comfortable in a computerized environment
