Job Description:
Reporting to the Associate Director of Advancement Services, the incumbent is responsible for serving as Advancement's database administrator and for implementing sound financial and information management policy.
The incumbent will produce, analyze, synthesize, and present data/research/financial reports and make recommendations that will inform fundraising/alumni initiatives, provide training and support to the team on technical and policy issues, explore new database solutions, and design database architecture infrastructure.
The incumbent is responsible for ensuring financial compliance and reconciliation with the finance department at the monthly, quarterly, and annual periods and with ensuring compliance with the Canada Revenue Agency (CRA) regulations.
The incumbent is responsible for ensuring timely donor gift processing, record maintenance and coding to ensure information integrity that is compliant with existing policy.
The incumbent will serve as contact and authority related to privacy rules, the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Canada Revenue Agency's policy on Charities and charitable giving.
The incumbent monitors compliance with internal financial controls and operational procedures within the department and ensures that budgeted and operational reconciliations and reports are prepared to meet the needs identified by management.
The incumbent oversees the day-to-day financial operation of the Advancement and Strategy Division including the administration of large external resource contracts.
Duties and Responsibilities:
Database Management- Perform oversight on the gift entry and information management processes to ensure clean and accurate data is captured in the Raiser's Edge database.- Develop database policies, procedures, standards and templates, as required.- Develop, evolve and continuously improve business processes (including Raiser's Edge database coding,) that ensure the management and integrity of the database.- Develop, run, and maintain reports, dashboards, and queries.- In concert with College-wide CRM strategy, investigate, implement, and monitor a CRM architecture for tracking Advancement activity.- Provide technical support related to the Raiser's Edge database.- Diagnose data issues and identify creative solutions to database management.
Alumni, Donor and Financial Reporting- Assist with the design and development of major gift and other donor/financial reports and dashboards.- Assist in revenue forecasting activities and reporting.- Report on, monitor and evaluate metrics related to constituents with the Advancement team.- Ensure financial compliance and reconciliation with the College finance department at the monthly, quarterly, and annual periods.- Support bi-annual audits to ensure Advancement receives an unqualified result.- Ensure information management integrity with regard to CRA regulations under the Income Tax Act.- Ensure timely and accurate deposits, receipting and reconciliation of donations.
Data Analytics- Support a data driven culture by deriving conclusions and identifying trends through the statistical analysis of internal and external data.- Implement data models and database designs, data access and table maintenance codes to track individual and overall campaign performance and forecasting.- Act as central resource for questions and issues regarding data within Advancement's Raiser's Edge database- Use data mining, trend analysis and other analytic techniques- Ensure the maintenance of ongoing metrics, reports, analyses, dashboards to drive key business decisions.
Privacy Control and Anti-Spam Legislation Administration- Liaise with College Privacy Lead on ensuring Advancement's compliance with the _Personal Information Protection and Electronic Documents Act_ (PIPEDA) and Canada's anti-spam legislation (CASL).- Ensure policies and procedures adhere to current legislation and inform standards and procedures for current and future business practices.- Ensure all Federal and Provincial Privacy legislation is adhered to.- Educate Advancement team on Privacy legislation.
