Reporting to the Senior Director, Corporate History and Board Communications, The Corporate History and Board Communications Coordinator will be responsible for providing administrative support to the Senior Director, Corporate History and Board Communications, Executive Assistant to the President and CEO (Board book and Board-related events and content), and other members of the President and CEO Office team as needed.


WAYS YOU CAN CONTRIBUTE

  • Provide support on the implementation of Corporate History activities.
  • Proactively manage calendar meeting requests, including global travel arrangements, ground transportation, travel visas, and immunization coordination.
  • Schedule meetings and coordinate related logistics, such as room books, refreshments, and document preparation for all attendees.
  • Build relationships internally and externally to provide higher level of support.
  • Prepare presentations and reports for Senior Director, Corporate History and Board Communications as required.
  • Manage team budget and process, and supplier SOWs/estimates, invoices, etc. using the Foundation's Concur invoice processing system.
  • Provide support to the team on various Corporate History initiatives (e.g., events, video production, development of repository bank, research, etc.).
  • Manage external inquiries and provide accurate information to ensure the Foundation's Corporate History is appropriately represented.
  • Maintain an accurate paper and electronic filing system, including the maintenance of the team site on SharePoint and repository bank.
  • Prepare and submit expense reports on time and ensure they are accurate.
  • Build and maintain relationships with employees, especially members of the President and CEO Office, Board members, Executive Committee, and relevant external stakeholders.
  • Provide backup to other executive administrative assistants when required.
  • Serve as the administrative liaison to the Foundation's Board of Directors (and other Board committees).
  • Work on quarterly Board books in collaboration with teams across the organization.
  • Organize, format, and manage version control of Board documents.
  • Ensure edits are made to all Board documents and that they are appropriately posted on Board Vantage and disseminated to the Board, Executive Committee, and employes in a timely manner.
  • Support CEO Executive Assistant to coordinate all Board events, information packages, and partner site visits to Africa and Indigenous communities in Canada working closely with Senior Director, Corporate History and Board Communications.
  • Manage software for posting Board materials (Board Vantage).
  • Work with Finance and Program teams for meeting updates and changes to Board materials.

WHO YOU ARE

  • College Certification or bachelor's degree in Administration or another related field is required.
  • Proven experience working as an Administrative Assistant.
  • Global experience working with senior leadership and Board of Directors.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment like printer/photocopy machine, phone system, meeting room AV equipment, etc.
  • Knowledge of Board Vantage.
  • Strong written and verbal skills.
  • Attention to detail and problemsolving skills.
  • Strong organizational skills with the ability to multitask.
  • Flexible and able to work in a fastpaced environment.
  • Excellent time management skills and ability to prioritize work.
  • Ability to work as part of a team and independently.
  • Proficiency in using MS Office, Excel, PPT, ZOOM, WhatsApp, SharePoint, Concur, etc.
  • Selfmotivated and strong work ethic.
  • Demonstrates good judgement and knows when to seek support.
