Description

The JR Shaw School of Business is looking for an energetic, positive, and detail-oriented individual to join the team supporting the Industry Engagement portfolio within the school.

This position will provide high level executive, administrative and analytical support to the Office of the Dean to achieve goals as outlined in NAIT's and the Schools' strategic plans in alignment with NAIT's Vision, Promises and Values.

More specifically, this role will focus primarily on supporting three growing areas:

supporting the work of the Associate Dean Industry Engagement, managing administrative processes within the business co-op programs, and assisting with the Mawji Centre for New Venture and Student Entrepreneurship (Mawji Centre).


As a partner in providing strong administrative support, the scope of your work includes proactively acting on assigned projects, coordinating events, supporting/streamlining administrative processes, and maintaining important external contacts.

Due to the nature of this area, the work is very dynamic and requires an administrative professional who thrives in an environment where priorities and activities frequently change.

Strong communication skills are necessary and experience working in a MS Teams environment is a strong asset.

Key Responsibilities:


  • Manages external relation priorities; supports relationship management on behalf of and with the Associate Dean; coordinates with Advancement on key contacts
  • Interfaces with both internal and external stakeholders on a regular basis, often independently, to support School Administrative Leadership Team success
  • Develops and briefs the Associate Dean on events and meetings; coordinates and organizes their commitments by ensuring calendar is reviewed in advance and then proactively coordinates the development of information to meet the requirements of meetings; prepares agendas, itineraries, meeting notices and related materials using own judgment and initiative; ensures deadlines are met and agenda items brought forward
  • Performs executivelevel administrative functions in support of the Associate Dean; assures that all purchasing, and travel expenses are processed and reconciled
  • Assists in the administrative functions related to workintegrated learning (coop) and with the Mawji Centre

  • Using a combination of feedback and reflection to gain productive insight into personal strengths and weaknesses
  • Proficient in the Microsoft Office Suite of programs and Adobe Acrobat

Qualifications:


  • Completion of grade 1
  • Related postsecondary certificate or diploma
  • 5 years progressively responsible administrative level experience
  • An equivalent combination of education and experience may be considered

Remuneration:
$1, $2,589.08 biweekly, plus a comprehensive benefits package. (Classification - Administrative Support VI).

  • This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement._
