Working Arrangement

As the new Executive Assistant to two busy executives within our data analysis and governance group, you will provide advanced administrative support and utilize advanced and/or specialized department software to generate reports, brochures, pamphlets, in-house publications, and work with complex department databases.


Overall responsibilities:


  • Type and produce reports, letters, graphics and other documents.
  • Handle routine correspondence as directed. May independently compose documents based on verbal direction and/or knowledge of company policy and procedures.
  • Assemble information for use in reports and meetings.
  • Coordinate all aspects of external and internal meetings.
  • Independently respond to questions and situations which arise during manager's absence using discretion and judgment and knowledge of department's activities.
  • Independently investigate problems as assigned by manager, determining method of research, data requirements and analysis techniques.
  • Prepare reports and recommendations for management.
  • Set up and maintain filing system for assigned department, including confidential data and ensure records are accurate and uptodate.
  • May need to oversee the onboarding of new hires and contractors.
  • May ensure compliance with all quarterly security and compliance checks.
  • Troubleshoot and manage technical support for the team, including managing the ticket process with help desk.
  • Assist in the development of PowerPoint presentations including content and design
  • Handle administrative projects as assigned by manager and ensure the accurate and timely completion of tasks. Projects may include research, correspondence and/or other work of the department.
  • Independently gather information, test for reasonableness and analyze data. May recommend changes and solutions to issues or problems.
  • Maintain the department operating budget.
  • Track expenses and invoices and ensures payments are coded to the appropriate account.
  • Report on monthly variances and researches discrepancies.
  • Organize and attends meetings and may act as recorder of proceedings. Coordinate followup actions.
  • Make travel arrangements for department staff and process related expenses.
  • Arrange function room, menus and travel for large and small external meetings in accordance with company travel policies.
  • Perform other duties as assigned such as space planning, consulting time tracking, recordkeeping, phone listings, maintaining office supplies and invoice and purchasing activity.
  • Work with others to ensure efficiency of the administrative and support functions.

Requirements:


  • Associate's degree or equivalent
  • 35 years of relevant administrative experience
  • Experience in activity coordination, business partnering, task prioritization, service delivery effectiveness
  • Comfort with troubleshooting and light technical support
