Duties and Responsibilities:


Reporting to the Manager, Property Services, the Workflow Systems Administrator is responsible for streamlining workflow processes and with the development and implementation of an improved workflow tracking system.

This includes working with stakeholders regarding service requests and developing related improvements to the functionality of the Computerized Maintenance Management System (CMMS) software.


The incumbent works with enterprise-wide stakeholders as well as with external service providers and skilled trades personnel to help manage the effective workflow through the department.


The incumbent is responsible for adapting software in the Maximo system to ensure smooth, client-generated service requests for contracted services or skilled trades as required.

The incumbent is also responsible for the end-user interface system-related project requests and distribution of preventive and deferred maintenance requirements.


The incumbent will be instrumental in working with management and the skilled trades to maximize the functionality of the Maximo system for the expansion of the preventive maintenance programs.


Qualifications:


The incumbent must possess the following qualifications:

  • Ability to multi-task is required.
  • Excellent organizational skills and the ability to set priorities are essential skills, as well as demonstrated resourcefulness, decision making ability, and flexibility and must have the ability to work quickly and accurately under pressure.
  • Able to prioritize tasks, meet deadlines to meet changing needs, and take initiative without supervision.
  • Analytical and problem solving skills are required to identify issues and support an appropriate course of action.
  • Excellent interpersonal and communication skills to provide excellent liaison services.
  • Leadership skills and the ability to participate as an effective team member are essential in the timely and successful completion of projects.

Education and Experience:


The above is normally acquired through the completion of:

  • Two-year diploma in building construction (or related field), plus the completion of a one-year program in Building Information Modeling and experience on an ITS project team
  • Minimum of seven years' of progressively responsible experience in facilities management, including experience in program development and implementation.
  • Experience with a workflow system (JIRA or Workforce) is highly desirable.
  • Experience working in a tech start up is considered an asset.
