We are looking for a responsible, versatile, proactive and highly-organized Administrative Assistant to perform administrative duties for a Partner of our firm.
In this role, you will be responsible for scheduling meetings, making travel arrangements, handling correspondence, conduct research, produce reports, file organization, run errands, drive Partner to client destination and other duties when required by the Partner.
To ensure success in this role, you should exhibit excellent organizational skills and be intuitive to the needs of the Partner, have strong communication skills and work autonomously to provide customized administrative support.
Duties and Responsibilities:
- Schedule meetings and appointments
- Manage the Partner's calendar to accurately assess availability
- Manage travel arrangements, transport and accommodation
- Handle errands as needed
- Conduct research, produce reports
- Copying, scanning and faxing documents as well as taking notes
- Remind the Partner of important tasks and deadlines
- Collating and filing expenses
- Capacity to remain calm and focused when juggling multiple requests and managing a busy calendar
- Other duties as assigned by the Partner
Requirements and Qualifications
- Professional discretion and confidentiality
- Outstanding organization and time management skills
- Efficient, discrete, flexible, adaptable, proactive
- Ability to multitask and prioritize daily workload
- Proficiency and flexibility with different software systems
- High attention to detail, selfstarter personality
- Able to work independently, take initiative
- Excellent communication skills, able to communicate clearly and concisely
- Working hours will vary, must be flexible to accommodate the Partners busy schedule
- Have a valid driver's license and maintain a clean driving record
